About the Role:
A premier, mid-sized legal services firm is seeking a dependable and organized Client Services/Hospitality Representative for our Boca Raton, Florida office. This visible role handles front-desk operations, hospitality management, and vital legal administrative support.
Key Responsibilities:
- Reception & Hospitality: Greet visitors, answer phone calls, reserve conference rooms, set up meeting spaces, manage kitchen pantry supplies, and coordinate catered food services.
- Mail & Document Services: Handle copy and print room services, manage large print jobs, and process incoming/outgoing mail or packages (USPS, FedEx, messenger services).
- Legal & Clerical Support: Assist attorneys with trial binder preparation, manage light filing, execute document changes, and assist with general clerical projects.
- Records Management: Enter accurate information into our records management system, prepare physical records for offsite storage, and handle organization and labeling for proper retention and retrieval.
- Facilities Support: Monitor office supply inventory levels and submit building maintenance requests as needed.
Qualifications:
- Proficient in Microsoft Word and Microsoft Outlook.
- Strong time management and exceptional organizational skills.
- Proven ability to multitask in a fast-paced professional office environment.
- Legal industry or law firm experience is a plus but not required.
