ABOUT THE CALIFORNIA VIRTUAL ACADEMIES AND THE POSITION:

The California Virtual Academies (a network of 9 public charter schools) delivers online/virtual home based instruction to students in grades TK-12 in California. We use K12, inc. as our curriculum provider for the basis of instruction and teachers provide live instruction via the Engageli platform. While our schools do offer some scheduling flexibility, students are still required to log into the online school daily, complete coursework, and attend instructional sessions.

Summary:

The Recruiter will serve as a key member of the Talent Acquisition team, responsible for managing and executing full-cycle recruiting processes for all positions across California Virtual Academies (CAVA), Insight Schools, and IQLA. This role requires excellent attention to detail, a strong sense of urgency, and the ability to manage a high volume of applicants and hiring requests using EdJoin and HCM systems exclusively. The ideal candidate will bring a proactive and collaborative approach to recruiting, managing communication with candidates, hiring managers, and internal stakeholders to ensure an exceptional candidate and hiring experience.

HOURS AND SALARY INFORMATION:

Full Time: Monday-Friday 8:00am-4:30pm You are not allowed to have another job during these contracted hours.

Salaried Position: $70,000-$80,000

Remote/Virtual Position

We do participate in CalPERS. Please contact your CalPERS counselor about how employment with California Virtual Academies may affect your personal PERS account. Only full time employees are offered health, dental, and vision benefits. Benefits information is only given out upon offer. We do provide training for all programs and we have a great staff to serve as your support system.

Scope of Impact:

  • Oversees the full-cycle recruitment process from job posting through offer acceptance.
  • Uses EdJoin and HCM (currently ADP) exclusively for applicant tracking, status updates, and compliance documentation.
  • Supports all hiring functions across multiple California-based virtual school brands.
  • Coordinates with hiring managers and academic departments to manage interview schedules, hiring steps, and onboarding preparation.
  • Maintains all applicant data and documents with accuracy and HR compliance.

Duties & Responsibilities:


Recruiting & Applicant Management

  • Post job openings on EdJoin and manage applicant flow from application through hiring decision.
  • Track and update all applicant data in HCM (currently HCM (currently ADP)) and Google Docs with meticulous attention to accuracy.
  • Communicate consistently with applicants as the primary point of contact during the recruitment process.
  • Generate and manage HireVue interviews and follow-up steps.
  • Facilitate the offer process, coordinating offer letters and ensuring timely communication with selected candidates via our HCM.
  • Partner with HR to ensure onboarding is seamless and complete for all new hires.

Systems & Documentation

  • Supervise all applicant and recruitment documentation in Dropbox, HCM (currently ADP), and EdJoin in alignment with HR and legal compliance standards.
  • Monitor and manage department recruiting email inboxes to ensure timely candidate response.
  • Regularly update and maintain recruiting templates, email communication tools, and tracking sheets.
  • Source passive candidates via EdJoin outreach and promote opportunities to prospective applicants.

Collaboration & Stakeholder Support

  • Act as a liaison between HR, hiring managers, and candidates to ensure a positive, transparent recruiting experience.
  • Maintain and distribute real-time updates to school leaders regarding applicant progress and hiring timelines.
  • Support Directors, Principals, and other hiring managers in understanding process steps, providing guidance when needed.
  • Review and refine job descriptions annually in partnership with administrative leadership.

Continuous Improvement

  • Participate in recruitment strategy meetings and contribute ideas to improve candidate quality, process efficiency, and DEIB efforts.
  • Stay up to date on EdJoin and HCM (currently ADP) platform features to optimize recruitment workflows.
  • Assist with metrics and reports related to time-to-fill, candidate pipeline, and source effectiveness.

Education, Experience & Required:

  • Bachelor's degree preferred; equivalent work experience in HR or talent acquisition may substitute.
  • Minimum 2–3 years of experience in full-cycle recruiting, preferably within education, nonprofits, or multi-location organizations.
  • High proficiency using EdJoin, HireVue, and HCM (currently ADP) for applicant tracking, status changes, and documentation.
  • Strong organizational and project management skills with the ability to handle multiple openings simultaneously.
  • Excellent communication skills, both verbal and written, with a high degree of professionalism.
  • Ability to manage interview logistics across multiple stakeholders and systems.
  • Strong knowledge of Google Workspace (Docs, Sheets, Gmail) and Dropbox.
  • Detail-oriented with high levels of follow-through and data accuracy.
  • Experience managing candidate communications and recruiting inboxes.
  • Friendly, collaborative demeanor with a strong customer service orientation.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Office Suite; and experience using a student information system and/or other type of database software. Experience moderating web meetings (Blackboard Collaborate, Webinar, Webex) for small and large groups

This position is a virtual position working from a home office. Must have ability to travel throughout the school year within and between assigned geographic areas to support students, attend regularly scheduled meetings, proctor state exams and participate in school activities and orientations.
