What are the responsibilities and job description for the Parish Secretary position at Catholic Diocese of Wilmington?
St. John the Beloved Parish is seeking a Parish Secretary who will assist the Pastor and the Chief of Staff in the efficient operation of the Parish by performing a variety of clerical and administrative tasks. Collaborating closely with other staff members, the Secretary helps to ensure that the office functions professionally and maintains the tone and culture of the Parish.
The schedule for this full-time position is Monday through Friday, 8:30 am - 4:30 pm.
Essential Functions:
- Answer telephone calls and direct calls to appropriate person.
- Greet and assist parish office visitors.
- Assist parishioners requesting Mass cards and record Mass intentions.
- Sorts and distribute incoming mail.
- Assist priests and deacons with scheduling of funerals either in church or at funeral home.
- Assist priests and deacons with scheduling classes and dates of Baptisms and collecting necessary paperwork.
- Assist those requesting a Godparent or sponsor eligibility form.
- Keep inventory of office supplies and place orders as needed.
- Prepare and type parish correspondence as needed and track memorial donations.
- Prepare deposit for Business Manager weekly and prepare checks for mailing.
- Prepare and send tax letters to parishioners.
- Verify and update census information from Diocese.
- Post all weekly offertory in parishioner database.
- File accounts payable invoices.
- Enter sacraments in official parish registers.
- Update & Register parishioners in parish database (ParishSoft).
- Prepare offertory collection bags.
- Update parishioner listing and submit to offertory envelope company quarterly.
- Keep mailroom & kitchen organized.
- Shred aged documents at the direction of Parish Business Manager.
- Contact on-call company to provide clergy information.
- Coordinate parish mailings.
- Supervise parish office volunteers.
- Help priests coordinate homebound visits.
Minimum Qualifications:
- High School Diploma and three years' of relevant office experience; or equivalent combination of education and experience.
- Demonstrated organizational, interpersonal, and communication skills.
- Strong verbal and written communication skills.
- Demonstrated ability to solve problems and handle simultaneous tasks with tact and diplomacy.
- Demonstrated time management skills.
- Proficient in Microsoft Office/365 and email applications, with and ability to learn new CRM/database software.
- An understanding of and ability to operate general office equipment
- Ability to build trust and rapport with individuals from diverse cultural, socio-economic, and ethnic backgrounds.
- Willingness to consent to a satisfactory criminal background check within applicable laws.
