School Business Manager

Overview

The Business Manager is an administrator in support of the school Principals. The Business Manager works closely with the location Principal's and the various school departments for the smooth running of the total school operation and is responsible for all financial processing and reporting functions, budgeting and cash forecasting, open position requests and payroll accuracy, within the policy guidelines set forth by the Diocesan Finance and Education Departments. 

Job Responsibilities

• Serve as an advisor to Principal on financial matters.
• Facilitates the school finance council by providing reports and relevant financial information for review, discussion and advice at quarterly meetings.
• Develops, oversees and defends the school budget for approval by the Diocese.
• Meets with the principal periodically to evaluate budgets, prepare next year’s budgets, project needs and expenses.
• Monitors all revenue and expense accounts to stay within budget.
• Prepares and provides financial reports including a balance sheet, income statement and budget to actual statements regularly to the Principal, Diocese, finance council as well as the church finance council.
• Supervises and maintains automated accounting systems including general ledger, accounts receivable, cash receipts, accounts payable, payroll, and related spreadsheets.
• Invoices all fees, tuition, subsidies and other amounts due to the school and oversees collection.
• Maintains positive cash flow by collecting all monies due and paying all liabilities while trying to keep educational costs affordable following Diocesan and government reporting guidelines.
• Finalizes all tuition agreements pursues delinquent accounts with compassion and understanding.
• Coordinates & processes Grant & Aid applications between all parties including families, parishes, outside funding agencies.
• Assists families with all state sponsored scholarship programs, including Florida Tax Credit, Family Empowerment – Equal Opportunities and Unique Abilities.
• Monitors, facilitates and prepares reports for all state sponsored programs through Step Up for Students including assisting families in the application/renewal process, collecting award id numbers, enrolling scholarship, completing quarterly invoicing withdrawing students no longer in the program and ensuring all families who qualify have applied to the appropriate program. Handles mandatory AUP audit of state scholarships with Diocesan approved outside auditor.
• Works with the Diocese to process payroll including wages, stipends and other changes and ensures timecards approvals.
• Assists with ADP recruitment requisitions and onboarding of new hires as needed. 
• Ensures all employee documentation and files are current and updated in accordance with the government and Diocesan regulations.
• Other duties as assigned.

Qualifications:

• AA or BS degree in Accounting or Business Administration required.
• 3 to 5 years experience in similar position.
• Critical thinker, ability to provide an analytical approach to managing the facility. 
• Knowledge of QuickBooks and/or SAGE. 
• Experience in automated payroll/timekeeping systems. 
• Excellent communication skills, both written and oral
• Understands importance of maintaining confidentiality.
• Able to handle multi-task simultaneously and work independently.
• Strong computer skills with Microsoft Office Suite (word, power point, excel).
• Must pass the DOV accounting assessment test.
