The Catholic Community of St. Francis Xavier, Hunt Valley, seeks candidates for a Pastoral Administrative Assistant. The Administrative Assistant performs secretarial and administrative duties relating to all Faith Formation programs, evangelization, mission and committee volunteers. The Administrative Assistant reports to the
Liturgical Coordinator. This position is a PT position and requires scheduled on-site office hours and may require occasional evening or weekend hours. The weekly hours are 19.

Essential Functions

  • Supports the administrative needs of the pastoral operations of the church, Pastor, Associate Pastor and the Liturgical Coordinator.
  • Scheduling mass ministers (ushers, greeters, sacristans)
  • Creating/adding/editing/posting content on social media.
  • Assist with on-site registration for specific archdiocesan liturgies and/or formation events at the discretion of the Associate Pastor.
  • Support the creation of the Faith Formation yearly calendar.
  • Maintain employee/volunteer files and ensure VIRTUS compliance.
  • Maintain Ministry Platform as it relates to liturgy.
  • Will serve as a "back up" receptionist when necessary.
  • Handles coordinating volunteers for various parish activities.
  • Supports the administrative needs of the Faith Formation and Sacramental Prep programs to include baptism, wedding, funerals and other sacramental data, scheduling and coordination.
  • Support Business operations Administrative Assistant, Parish Council and committees.
  • Assist Business Manager and Business Administrative Assistant as needed.
  • Attend general and department meetings as needed.
  • Uphold and align with the visions of the Pastor and parish leadership.
  • Perform other duties as assigned.

Position Qualifications

  • High school diploma or equivalent.
  • Have at least 3-5 years administrative experience
  • Knowledge of the Catholic Church
  • Proven expertise with Microsoft Office and desktop publishing software (Publisher or InDesign).
  • Excellent oral and written communication skills.
  • High proficiency with digital media use such as websites, social media, mobile apps.

Range: $19.00 - $22.00, Hourly
