Employment Type: Full-Time

Schedule: M-F, 35 hours

Salary: $21.00/hr.

Qualifications

Education: High School Diploma or GED required. Associate degree in Business Administration, Human Services, Office Administration, Accounting, or related field preferred.

Experience: Minimum one (1) year of administrative, housing, property management, tenant services, accounting, or human services experience. Must be available to participate in evening, weekend, and on-call coverage rotations as assigned.

About The Role

Under the supervision of the Residential Director, the Residential Assistant provides administrative and operational support to the ESSHI Permanent Supportive Housing Program. The Residential Assistant supports housing operations, resident engagement activities, rent collection tracking, occupancy documentation, and program administration. This position helps ensure efficient program operations, promotes housing stability, and fosters a welcoming, trauma-informed, and person-centered environment for program participants.

Key Responsibilities

  • Collect and document resident rent payments.
  • Maintain rent ledgers and payment records.
  • Assist with tenant rent calculations as assigned.
  • Track rent arrears and notify supervisory staff regarding payment concerns.
  • Assist with annual income recertification documentation.
  • Support preparation of monthly rental reports.
  • Maintain organized resident files.
  • Ensure occupancy agreements and required forms are completed and filed.
  • Assist with annual occupancy agreement renewals.
  • Maintain demographic and housing documentation.
  • Track required resident forms and signatures.
  • Assist with resident admissions and orientation activities.
  • Support move-in and move-out processes.
  • Prepare resident welcome materials and program packets.
  • Coordinate scheduling of apartment inspections.
  • Assist in maintaining housing program records.
  • Coordinate resident activities and community events.
  • Assist with tenant meetings and resident engagement initiatives.
  • Promote resident participation in program activities.
  • Support development of tenant leadership opportunities.
  • Assist with wellness and community integration activities.
  • Provide administrative support to the Residential Director.
  • Schedule meetings, appointments, and activities.
  • Assist in preparation of reports and correspondence.
  • Maintain activity calendars and program schedules.
  • Support tracking of program performance measures.
  • Serve as a professional point of contact for residents, landlords, vendors, and community partners.
  • Coordinate communication regarding non-clinical housing issues.
  • Support resolution of routine resident concerns.
  • Assist with housing program logistics and operations.
  • Participate in agency and program on-call coverage rotations as assigned.
  • Complete other duties as assigned.

Participate in required training and assist in maintaining compliance with ESSHI, OASAS, and agency requirements. Adheres to all applicable federal and state laws and regulations including, but not limited to, those governing confidentiality, privacy, program, billing, and documentation standards.
