Essential Duties/Responsibilities:
- Provide receptionist services, receiving clients and visitors. Inform appropriate staff of their arrival. Monitor and oversee the appearance of the waiting area.
- Responsible for processing incoming phone calls to the agency. Screen phone inquiries and route call to appropriate department, staff member, or back up as required. Forward calls to voicemail if staff are unavailable.
- Provide a range of secretarial and support services including typing, filing, data entry, and recordkeeping.
- Operate a range of automated and standard office equipment including the phone system, Microsoft Office, copier, and postage machine.
- Sort and distribute mail as needed, meter mail, and take agency and Diocese mail to the post office each evening.
- Handle money transactions from clients and donations from donors and record all of these on daily cash sheet. Prepare donor receipts and acknowledgment letters for mail distribution.
- Provide data entry services including reports, intakes, and other client records and services for various programs as needed.
- Maintain schedules of staff members.
- Provide backup to other support staff positions, as required.
- Demonstrate cultural sensitivity and awareness with the service population’s diverse economic, ethnic, and cultural background.
- Assist in special projects as required.
- Participate in meetings, committees, and trainings as required by the agency.
- High School Diploma/Associates or equivalent with 12 months of experience

- Clear, pleasant phone voice. Excellent communication model with clear, direct, and open skills when speaking and/or writing to people from outside the agency as well as with employees and volunteers.
- The ability to speak Spanish.
- Computer literacy in Microsoft Office 365 (Outlook, Excel, PowerPoint, and Word)
- Good decision-making abilities.
- Displays a positive attitude and willingness to assist employees, volunteers, and vendors.
- Ability to operate a range of automated and standard office equipment including the phone system, copier, fax, and postage machine.
- Have a valid driver’s license with a clean driving record.
- Reliable vehicle with personal vehicle liability insurance coverage of $100,000 per person and $300,000 per occurrence when using personal vehicle to transport clients, staff members, or volunteers
- Personal vehicle liability insurance coverage of $50,000 per person and $100,000 per occurrence when driving agency vehicle and transporting clients, staff, or volunteers
- Successful completion of federal and state background checks
- Successful completion of child welfare screening
- Successful completion of drug and Mantoux (TB) screens
- Comply with the agency’s mission, code of ethics, Catholic Social Teaching, policies and procedures, and confidentiality
- Must have ability to reason and make judgements, to understand and follow oral and written instruction, to guide and/or give instructions, and to make decisions in accordance with established procedures and policies.
- Physical strength: must have ability to life, push/pull, and hold/carry 25 lbs.
Salary : $50,000 - $300,000
