Basic Function:
This is a role that would sit at the intersection of technology, Finance, business/operations, data and strategy as well as clinical services. It will be the project manager and coordinator of improvement initiatives.
Responsibilities:
The essential functions listed below represent the primary duties that define this role and are required for successful performance.
EHR Integration & System Ownership
- Lead and manage the end‑to‑end integration and optimization of the organization’s EHR system.
- Own and maintain the billing configuration layer within the EHR (Avatar), ensuring accuracy, consistency, and compliance.
- Ensure system configurations reflect approved business processes, clinical workflows, and billing requirements.
- Oversee EHR system administration functions, including helpdesk workflows, reporting, and system enhancements.
Process Design & Continuous Improvement
- Assess current clinical, administrative, and financial workflows and identify opportunities for improvement.
- Translate clinical and billing practices into documented processes, decision trees, and standardized system configurations.
- Ensure consistent use of processes across departments and roles.
- Drive continuous improvement initiatives related to operational efficiency, data quality, and revenue cycle performance.
Project Management & Cross-Functional Coordination
- Serve as the primary project manager for EHR integration and related improvement initiatives.
- Coordinate work across clinical services, operations, finance, billing vendors, and IT resources.
- Facilitate communication between clinical teams, system capabilities, and day‑to‑day operational practices.
- Manage timelines, deliverables, dependencies, and risks associated with EHR and process initiatives.
Revenue Cycle & Financial Integration
- Partner with Finance and Financial Analysts to ensure accurate billing, payment posting, and accounts receivable reporting.
- Collaborate with the outsourced billing vendor to align EHR configuration and billing processes.
- Support improved revenue cycle management through system optimization and process consistency.
- Review payer and service contracts at least annually to ensure alignment with billing configuration and workflows.
Training, Communication & Change Management
- Design, manage, and deliver role‑based training for EHR users (intake staff, clinicians, supervisors, peers, and administrative staff).
- Ensure staff understand their responsibilities related to EHR use, billing accuracy, and financial setup.
- Lead training and communications to ensure consistent, high‑quality EHR use across the organization.
- Support change management efforts related to workflow, system, and role changes.
Governance & Accountability
- Own and manage the EHR steering committee, including agenda setting, facilitation, and follow‑
- Clearly define roles and responsibilities for staff interacting with the EHR system.
- Hold stakeholders accountable for adherence to defined processes, even without formal direct authority.
- Recommend updates to job responsibilities or job descriptions as needed to support system and process clarity.

Requirements:
- Demonstrated ability to lead cross‑functional initiatives and hold accountability without formal authority.
- Strong project management skills, including managing complex, multi‑stakeholder initiatives from planning through implementation.
- Solid understanding of behavioral health service delivery, clinical workflows, and documentation requirements.
- Proven experience with Electronic Health Record (EHR) systems, including system configuration, workflow design, and optimization.
- Working knowledge of revenue cycle management, including billing, payments, accounts receivable, and payer requirements.
- Ability to translate clinical, operational, and financial requirements into clear processes, documentation, and system configurations.
- Experience designing and delivering role‑based training for system users.
- Strong analytical, problem‑solving, and process improvement skills.
- Excellent communication skills with the ability to synthesize complex information for diverse audiences.
Preferred:
- Direct experience with Avatar EHR or similar behavioral health EHR platforms.
- Experience partnering with outsourced billing vendors.
- Background in process improvement, quality management, or change management methodologies.
- Experience supporting steering committees or governance structures.
- Prior experience in a healthcare, behavioral health, or human services organization.
Education & Experience:
- Bachelor’s degree in Finance, Operations Management, Healthcare Administration, Information Systems, or a related field required.
- 7–10 years of progressive experience in healthcare operations, EHR systems, revenue cycle management, project management, or related roles.
- An equivalent combination of education and experience may be considered.
