Summary: Provides administrative assistance to CCCS Immigration Legal Services staff.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Reception:
- Greeting and assisting clients and visitors at the front desk; answering and directing incoming phone calls in a professional and courteous manner.
- Assessing the nature of walk-in inquiries and referring clients to the appropriate staff or services.
- Providing general information to the public regarding office services, including consultation and intake schedules, Immigration Hotlines, and parish outreach programs.
- Managing incoming telephone communications, including answering inquiries, routing calls, and taking messages as needed.
- Scheduling, confirming, and canceling client appointments for legal services staff.
- Assisting Program Coordinators with the organization and coordination of events and volunteer activities.
- Administrative responsibilities:
- Reviewing and sorting incoming mail for all staff; preparing and sending outgoing mail; identifying time-sensitive correspondence and directing it to the appropriate team members.
- Managing client records using the client management system (LawLogix), including data entry, updates, deadline tracking, and logging all client-related correspondence.
- Assisting with client communication, including translating legal documents and providing interpretation services, as needed.
- Entering data into various databases in accordance with program and contract requirements.
- Processing program-related forms, including intake and other administrative documents.
- Sorting and filing correspondence into client files accurately and efficiently.
- Retrieving and returning client files from storage cabinets; ensuring files are properly labeled and organized.
- Operating office equipment to fax, scan, and photocopy documents.
- Managing office supplies and equipment, including organizing supplies, restocking as needed, and ensuring printers and fax machines are functional.
- Monitoring incoming faxes and distributing them to appropriate staff.
- Supporting the Director of Operations and Program Coordinators with administrative tasks and special projects.
- Providing clerical support to multiple migration counselors and attorneys, including filing, copying, and mailing.
- Performing other administrative and clerical duties as assigned.
Position Type and Expected Hours of Work:
This is a full-time position 9:00 AM to 5 PM, Monday - Friday. Additional hours may be required. CCCS currently operates on a hybrid schedule that requires 3 days in office and 2 days remote.
Working conditions and physical demands required:

- Remain stationary at a work station and in meetings, and use a computer at least 75% of the time.
- Bend, stretch and use short ladder in order to file.
- Willing and able to travel in Rockland, Duchess and Orange counties and to and from New York City.
Qualifications:
Education and/or experience required:
Associate degree or High school degree with relevant experience.
Skills, Licenses, and/or competencies required:
- Bilingual in English and Spanish;
Skills, Licenses, and/or competencies preferred:
- Comfort using technology and inputting data;
- Highly motivated and self-starter;
- Good communication and analytical skills; and
- Good interpersonal skills.
