PURPOSE OF POSITION:

The Administrative Assistant serves as the main contact person for Centro San Juan Diego and is a representative agent of our mission, performing all position responsibilities under the supervision of the Program Manager. 


ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Performs routine secretarial functions such as answering and transferring phone calls, taking messages, receiving visitors, filing, mail routing, scheduling meeting rooms, copying, faxing, and record keeping. 
  • Screens, responds, and routes general questions, inquiries, and complaints from visitors, students, teachers, and other offices using appropriate communication tools and established protocols and procedures in a manner that is friendly and sincere, making all feel welcomed and comfortable. 
  • Research and provide background information for issues and projects engaged in by CSJD. 
  • Research and maintain relevant resources for the community up to date. 
  • Composes and processes correspondence for CSJD as assigned. 
  • Manage calendar and schedule for use of the facility/rooms (scheduling for classes, meetings, rentals, etc.). 
  • Ensure the general maintenance of classrooms and spaces, including updating signs, bulletin boards, etc. 
  • Schedule appointments for programs (lawyers, therapy, and tax preparation, etc.) when necessary. 
  • Helps register students and collect any fees (when necessary), and ensures the accuracy of student database records. 
  • Process invoices and assist with the preparation of deposits as needed. 
  • Assists with major events, meetings, and programs related to setup, on-site supervision, coordination, etc. 
  • Assists with the setup/teardown of conference rooms for multiple meetings and events for CSJD, as needed. 

Requirements

  •  Strong written communication skills. 
  • Effective listening and verbal communication skills. 
  • Bilingual (English/Spanish) in both oral and written communication required. 
  • Customer service orientation with solid phone etiquette. 
  • Ability to operate basic office equipment. 
  • Knowledge of office processes, practices, and computer software applications, including the Microsoft suite of Office products (Word, Excel, PowerPoint, and Publisher). 
  • Ability to meet deadlines and schedules for the work area. 
  • Ability to plan, organize, and prioritize assignments, projects, and daily tasks. 
  • Ability to assess problems and identify solutions. 
  • Information gathering and monitoring skills. 
  • Work and time management skills. 
  • Demonstrates flexibility, adaptability, and initiative. 

 

EDUCATION and/or EXPERIENCE  

Requires a high school diploma, bachelor's degree preferred.
