Villa Maria Cathedral Preparatory Catholic School System is seeking a full-time Enrollment Manager for Cathedral Preparatory School, a co-ed, Christ-centered, private college-prep school located in Erie, Pa. The successful candidate must be outgoing, high energy, and results driven. Sales and marketing background is helpful. Enrollment management experience in an academic environment is desired.
The Enrollment Manager will play an administrative and professional role in admitting students. Manager is involved in all aspects of the admission program, from inquiry to enrollment. Manager will also be integral member of the School team—attending faculty meetings, participating in group work, communicating with teachers, and taking on duties as required.
The role will require close collaboration to ensure optimal efficiency and results in the student enrolment cycle and that the customer service experience is exceptional at all points within the enrollment process.
Essential Job Functions:
- Ensure that the school adheres to standardized inquiry handling protocol as advised by Enrollment Director and School Administration Team.
- Ensure that a high quality of customer care is always maintained.
- Meet and greet’ all visiting parents and pupils and organize school tours and note any follow-up actions that may be required.
- Monitor incoming mail/electronic mail and respond to routine matters and/or forward to the Enrollment Director for information or action.
- Conduct Tours of the school to potential parents in a personalized manner that reacts to the needs and concerns of the parents and or student, while promoting and adhering to the school Core Values.
- Act as a point of contact for admissions inquiries from potential or existing parents and to refer these to the Enrollment Manager as appropriate.
- Interviewing applicants and their parents, evaluating applications, and working closely with the Enrollment Team to “build a class”.
- Ensure records and files are kept concerning visitors and registrations.
- Use the Management Information System, Veracross, to ensure that all student records are up to date.
- Process student applications, including obtaining and initial storage of student records.
- Play an active role in maintaining close relationships with local businesses,
- organizations, relocations agencies, and all other referral points.
- Maintain and distribute all promotional materials for the school in liaison with Marketing Team.
- Develop parent liaison and relationships ensuring that word of mouth comments is positive.
- Maintain strict confidentiality of all school and enrollment office records.
- Other duties as assigned.
Minimum Education and Professional Requirements:
- Bachelor’s degree
- Demonstrated success in sales, marketing or enrollment management in a private school environment preferred
- Exceptional interpersonal skills with the ability to build and maintain effective, professional relationships with students, faculty, administrators, parents, alumni and guests
- Excellent skills in organization, critical thinking, data analysis, quality assurance, and problem solving
- Comfort speaking with individuals and large groups and possess excellent oral and written communication skills
- Excellent attention to detail and follow-up skills; highly self-motivated
- Proficiency with Google Suite and Microsoft Office Suite required; experience with Veracross preferred
- Exceptional teamwork and leadership skills
