Job Description
The Administrative Assistant reports to the Facility Manager and supports all clerical and administrative needs for the facility.
Duties & Responsibilities
- Answer telephones, send and receive correspondence
- Provide clerical support for the facility leadership team
- Coordinate meetings and employee events
- Maintain all files for facility
- Disposition railcars
- Prepare and distribute reports
- Develop status reports and send to personnel and customers
- Purchasing for facility and accurate entry into PO system
- Help maintain QA files and forms as required by the QA program.
- Work with senior management and shop management to help resolve any QA concerns or shop production or employee concerns.
- Other duties as assigned
Qualifications
- 4-7 plus years of experience in document control and and administrative duties
- Preferred experience in industry, construction or manufacturing environment
- 7 plus years of computer experience (utilizing Microsoft Outlook, Word, and Excel and other software programs).
- Must have good communication skills to communicate with management, customer, and all personnel.
- Must have good writing skills to assure good communication for all personnel and customers.
- Must be able to provide status reports to customers, management and field team as needed.
