PURPOSE OF THE JOB: The Agent Licensing & Contracting Specialist is responsible for managing the licensing, contracting, and compliance processes for insurance agents. This role ensures agents maintain active state licenses and proper carrier appointments prior to selling products. The position serves as a key liaison between agents, carriers, and uplines to facilitate efficient onboarding, resolve contracting issues, and maintain accurate compliance records.

Responsibilities

  • Agent Licensing
  • Ensure agents maintain active and compliant state licenses prior to selling company products.
  • Track newly submitted license applications and monitor progress through approval.
  • Follow up with state licensing departments when additional documentation or action is required.
  • Monitor license expirations and communicate renewal deadlines to agents.
  • Agent Contracting
  • Send and manage agent contract requests for each carrier.
  • Guide agents through the contracting process by answering questions and providing step-by-step instructions.
  • Coordinate with carriers and/or uplines to ensure contracts are progressing smoothly.
  • Follow up with carriers to resolve delays or obtain additional information needed for approval.
  • Manage new appointments, renewals, and contract releases.
  • Agent Communication & Support
  • Provide agents with updates regarding the status of licensing and contracting.
  • Notify agents when documents, certifications, or other required materials are needed.
  • Serve as a point of contact between agents, carriers, and uplines.
  • Assist with agent onboarding and ensure all required documentation is completed.
  • Data & Compliance Tracking
  • Maintain accurate records of agent licensing, certifications, and contracting status in internal systems.
  • Update and track information within platforms such as AgentSync, AHM Hub, and internal Excel trackers.
  • Monitor agent certifications and other documentation required by carriers or regulatory agencies.
  • Generate reports and assist with tracking licensing and contracting progress.

Requirements

  • Knowledge of Medicare, Life, and ACA regulations and compliance requirements.
  • Experience using licensing systems such as NIPR and Sircon.
  • Strong organizational and time-management skills.
  • Excellent communication and coordination abilities.
  • Ability to manage multiple licensing and contracting tasks simultaneously while maintaining attention to detail.
