Position Summary
The Executive Assistant position provides high-level administrative, organizational, and operational support to the Catawba Nation Gaming Commission, Commissioners, and Executive Director. This position plays a critical role in supporting regulatory oversight of tribal gaming operations by ensuring effective communication, accurate recordkeeping, and efficient workflow within the Commission. The Executive Assistant maintains strict confidentiality, adheres to tribal, federal, and state gaming regulations, and represents the Commission with professionalism and cultural respect.
Essential Functions
An individual in this role must be able to perform the following functions with or without reasonable accommodation:
- Provide direct administrative support to the Executive Director and Commissioners, including calendar management, scheduling, correspondence, and travel arrangements.
- Prepare, edit, and proofread documents, reports, memos, and presentations.
- Manage incoming communications and route items appropriately.
- Coordinate Commission meetings, hearings, workshops, and regulatory briefings.
- Maintain accurate and secure records in accordance with tribal Gaming Commission policies, Tribal law, federal regulations, and retention schedules.
- Assist with preparing and submitting regulatory submissions.
- Ensure confidential materials and sensitive information are handled and stored properly.
- Prepare agendas, compile meeting materials, and distribute packets for Commission meetings.
- Take and transcribe minutes, ensuring accuracy and timely dissemination.
- Track action items, deadlines, and follow-up activities required by the Executive Committee, Commission, or Executive Director.
- Serve as a point of contract for tribal members, Executive Committee, and Commissioners.
- Uphold tribal values and professionalism in all interactions.

Qualifications
Experience: 3 years of executive level administrative experience, preferably in a regulatory, governmental, or tribal organization.
Education: High School diploma required. Associate’s degree in business administration, Office Management, Public Administration, or related field preferred.
Licenses & Certifications: Must be able to obtain and maintain a valid gaming license as required by the Catawba Nation Gaming Commission; Current Driver’s License

Work Environment & Physical Demands
- Office-based environment with frequent interactions with Commissioners, Executive Committee, staff, and the public.
- Occasional travel, evening meetings, or special-event support may be required.
- Must comply with all Tribal policies and gaming regulatory requirements.
