Position Summary
The Communication Specialist serves as the primary liaison between partnering dental practices and the laboratory, ensuring seamless coordination and accuracy throughout the case lifecycle. This role is responsible for translating case instructions into clear, actionable details, managing status updates, and proactively resolving inquiries to support efficient workflow. By fostering strong client relationships and delivering consistent, high‑quality communication, the Communication Specialist helps ensure exceptional service and reliable case outcomes.
Key Responsibilities
- Serve as the primary communication liaison for partnering dental offices through phone, email, and client portals.
- Review all incoming cases to ensure completeness, accuracy, and proper documentation prior to production.
- Provide clear and timely case updates, including turnaround expectations, delays, delivery details, and status changes.
- Collaborate closely with production teams, technicians, and account managers to clarify prescriptions and ensure alignment on case requirements.
- Record all client interactions, case notes, and relevant updates within the laboratory management system.
- Assist in resolving case concerns, including remakes, adjustments, scheduling priorities, and general troubleshooting.
- Support billing-related inquiries by coordinating statements, payment follow-up, and documentation as needed.
- Guide new clients through onboarding, including portal setup, submission best practices, and workflow orientation.
- Maintain a professional, responsive, and solutions-focused approach in all client interactions.
- Identify recurring issues or communications gaps and escalate trends or concerns to leadership when appropriate.
Qualifications & Requirements
- Previous dental lab, dental office, or healthcare coordination experience preferred
- Strong written and verbal communication skills with high attention to detail
- Ability to multitask and prioritize effectively in a fast-paced environment
- Proficiency with dental lab software, email platforms, and general office applications
- Strong problem-solving skills and a customer-service oriented mindset
