Overview
We are seeking a proactive and detail-oriented Fire Alarm Service Dispatcher to join our dynamic team. In this vital role, you will coordinate fire alarm service calls, manage communication between clients and technicians, and ensure timely response to service requests. Your organizational skills and ability to handle multiple communication channels will help us deliver exceptional service while maintaining operational efficiency.
Duties
- Receive and prioritize incoming service requests for fire alarm systems via multi-line phone systems and internal communication channels.
- Dispatch technicians promptly using vehicle dispatch software and transportation management systems to ensure quick response times.
- Maintain accurate data entry of service orders, customer information, and scheduling details in systems.
- Communicate clearly with clients, technicians, and vendors via phone call to coordinate appointments effectively.
- Monitor GPS and GIS (Geographic Information Systems) data to assist with routing and transportation planning for service calls.
- Track service progress, update records regularly, and generate reports on dispatch activities for management review.
- Collaborate with logistics teams to coordinate shipping & receiving of parts or equipment needed for fire alarm maintenance or repairs.
Requirements
- Proven experience in dispatching and Operations is a plus. Particularly within fire protection, security systems, or related fields is preferred.
- Strong proficiency with transportation planning tools such as vehicle dispatch software, Servicetrade, Sage, or similar logistics platforms.
- Familiarity with GPS, GIS technology, and road transportation operations to optimize routing efficiency.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Exceptional communication skills—both verbal and written—and professional phone call management abilities.
- Knowledge of DOT (Department of Transportation) regulations relevant to vehicle dispatching is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel) and MS365 online for documentation and reporting purposes.
- Ability to perform data entry accurately with good typing speed
- Customer service orientation with a focus on clear communication and problem-solving skills.
