We are seeking a Program Director to oversee the day-to-day operations that shape the student experience outside of class. This role focuses on communication, organization, scheduling, and support for students, parents, and instructors, ensuring the academy runs smoothly, professionally, and in alignment with Gracie Barra standards.
Role Overview
The Program Director is responsible for execution and consistency. This role ensures that classes, staff, systems, and student experience align with Gracie Barra methodology and culture.
This position requires leadership, accountability, and strong communication. You will work closely with the owner and head instructor to keep the academy organized, professional, and growing.
Core Responsibilities
- Confirm classes start and end on time
- Monitor attendance, and student progression
- Support belt promotions, seminars, and special events
Staff Leadership & Accountability
- Coordinate instructor schedules and coverage
- Serve as first point of contact for daily staff needs
Student & Parent Experience
- Maintain a welcoming, respectful environment
- Handle student and parent communication professionally
- Address concerns, attendance issues, and questions promptly
Administration & Systems
- Oversee attendance tracking
- Assist with billing questions, freezes, and cancellations
- Maintain calendars, operating procedures, and internal checklists
- Ensure cleanliness, safety, and organization of the facility
Growth & Retention Support
- Assist with trial student onboarding and follow-up
- Support retention efforts and student engagement
- Help execute marketing events, promotions, and community outreach
Qualifications
- Brazilian Jiu-Jitsu experience preferred but not required if you are interested in training on the mat and learning about jiu-jitsu
- Leadership or program management experience
- Strong organizational and communication skills - answering the phones and following up on the phones are required- there is no cold calling
- Comfortable working with kids, parents, and adults
- Reliable, detail-oriented, and professional
- Willing to work evenings and some weekends (some Saturday mornings)
