Job Summary: Castle Keep Property Management in Middletown Rhode Island, is seeking an experienced, organized, and proactive Property Manager with strong HOA/ condominium association experience to join our growing team.
This position is ideal for someone who understands the day-to-day operations of condominium and homeowner associations, can confidently work with HOA boards and unit owners, and has the ability to identify and coordinate building maintenance and capital improvement projects.
We are looking for a candidate who is professional, detail-oriented, solution-driven, and comfortable managing multiple properties, vendors, projects, and personalities in a fast-paced environment.
Responsibilities
- Manage a portfolio of condominium and homeowner associations
- Work directly with HOA Boards of Directors and attend board meetings as needed (including occasional evening meetings)
- Interpret and understand condominium declarations, bylaws, rules & regulations, and governing documents
- Coordinate and oversee maintenance projects, repairs, inspections, and vendor services
- Identify potential property issues including rot, water intrusion, deferred maintenance, safety concerns, drainage issues, exterior failures, and other building-related concerns
- Obtain, review, compare, and negotiate vendor proposals and contractor estimates
- Work closely with subcontractors, maintenance personnel, landscapers, painters, roofers, and specialty vendors
- Conduct regular site inspections and prepare detailed property reports
- Assist boards with budgeting, reserve planning discussions, and project coordination
- Ensure compliance with Rhode Island condominium and housing regulations
- Respond to homeowner concerns and maintenance requests professionally and efficiently
- Coordinate emergency service calls and follow through on resolutions
- Maintain accurate documentation, meeting notes, and communication records
- Work collaboratively with accounting and administrative staff regarding association finances, invoicing, and project tracking
Required Qualifications
- Previous HOA and/or condominium property management experience
- Strong understanding of condominium documents and association governance
- Ability to identify building maintenance concerns and coordinate repairs
- Experience reviewing contractor estimates and scopes of work
- Strong organizational and communication skills
- Ability to manage multiple projects and priorities simultaneously
- Reliable transportation and ability to travel between properties
- Availability to work 40 hours per week and attend meetings as needed
Additionally Preferred:
- Rhode Island property management experience
- Real estate license or property management certifications (CMCA, AMS, PCAM, etc.)
- Experience with AppFolio or similar property management software
- Construction, facilities management, or building maintenance knowledge
- Understanding of reserve studies and capital improvement planning
- Experience handling insurance claims, vendor compliance, and maintenance coordination

Pay: $58,240.00 - $66,560.00 per year
