This role is responsible for processing documentation and imaging requests, coordinating communication with patients and providers, maintaining accurate records, and supporting timely report and record distribution. Success in this position requires strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities across several systems.

Job Summary
The Health Information Management Services (HIMS) Specialist provides essential administrative and workflow support for radiology operations. This role is responsible for processing documentation and imaging requests, coordinating communication with patients and providers, maintaining accurate records, and supporting timely report and record distribution. Success in this position requires strong organizational skills, attention to detail, sound judgment, and the ability to manage multiple priorities across several systems.
Key Responsibilities
- Provide day-to-day administrative support, including phone coverage and frontline communication.
- Process and manage PowerShare imaging requests accurately and within established turnaround times.
- Review and complete medical records requests through Teams and the Radiology Information System (RIS).
- Fulfill Release of Information (ROI) requests from patients, medical offices, legal offices, and record retrieval companies in compliance with privacy and authorization requirements.
- Submit reports, images, and related files to clinicians and requesting parties as needed.
- Coordinate the processing of external images by scheduling, merging, and finalizing appointments and associated imaging records.
- Collaborate with radiologists, clinical and non-clinical team members, and referring offices to ensure complete and accurate patient and exam information.
- Review exam reports for accuracy and completeness and help ensure finalized results are communicated promptly to the ordering provider.
- Manage frontline phone communication for radiologists and related workflows.
- Perform other clerical and administrative duties as assigned.
- High school diploma or equivalent required.
- Must be legally authorized to work in the United States and provide documentation in accordance with USCIS requirements.
- Strong customer service, verbal communication, and written communication skills.
- Ability to read, interpret, and document information accurately in paper and electronic systems.
- Professionalism, accountability, and the ability to maintain confidentiality.
- Ability to receive feedback constructively and adapt to changing priorities.
- Professional and courteous telephone communication skills.
- Strong typing, computer, and organizational skills with the ability to multitask effectively.
- At least one year of experience in health information management, medical records, radiology support, or a related healthcare administrative role preferred.
- Working knowledge of HIPAA, Release of Information (ROI) processes, and confidentiality standards preferred.
- Basic knowledge of medical terminology and anatomy preferred.
- Experience communicating effectively with providers, team members, patients, and external customers preferred.
- Experience managing multiple priorities in a fast-paced environment preferred.
- Knowledge of health information workflows, documentation standards, and patient privacy practices.
- Ability to prioritize tasks, meet deadlines, and maintain accuracy in a high-volume environment.
- Ability to work independently while contributing effectively as part of a team.
- Proficiency with computers and the ability to learn and navigate multiple healthcare systems.
- Strong attention to detail, problem-solving ability, and sound professional judgment.
- Office-based work in a cubicle or similar administrative setting.
- Ability to alternate between sitting and standing as needed for ergonomic support.
- Must be able to remain seated or standing for extended periods during an 8-hour workday.
- Daily equipment use may include a telephone, computer, scanner, printer, fax machine, and copier.
- Full-time position
- Non-exempt and eligible for overtime
- Monday through Friday, 8:00 AM to 5:00 PM
- Compensation is based on experience
