Position Summary
The Front Desk Coordinator is the first point of contact for patients and families at Casper Children’s Dental Clinic. This role is essential in creating a welcoming, calm, and child-friendly environment while ensuring smooth administrative operations. The ideal candidate is friendly, organized, detail-oriented, and comfortable working with children and parents.
Key Responsibilities
Patient Experience & Customer Service
- Greet patients and families warmly upon arrival
- Create a positive, comforting experience for children and caregivers
- Answer phone calls, emails, and messages in a professional and friendly manner
- Respond to patient inquiries regarding appointments, services, and office policies
Scheduling & Office Coordination
- Schedule, confirm, and manage patient appointments efficiently
- Coordinate treatment schedules with dentists and clinical staff
- Manage cancellations and rescheduling to maintain optimal clinic flow
- Maintain accurate patient calendars and daily schedules
Patient Records & Documentation
- Check patients in and out accurately
- Verify and update patient demographic and insurance information
- Maintain confidentiality and compliance with HIPAA regulations
- Ensure patient forms and consents are completed and properly filed
Billing & Insurance Support
- Verify dental insurance eligibility and benefits
- Collect copayments, deductibles, and payments at time of service
- Assist families with basic insurance questions and payment options
- Prepare documentation for insurance claims as needed
Office Operations
- Maintain a clean, organized, and welcoming front desk area
- Monitor office supplies and notify management when restocking is needed
- Assist with administrative tasks such as scanning, filing, and data entry
- Support the clinical team with communication and coordination
Qualifications & Skills
- High school diploma or equivalent required
- Previous experience in a dental or medical front office preferred
- Experience working with children and families strongly preferred
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Basic computer skills and familiarity with scheduling or dental software
- Ability to remain calm, professional, and compassionate in a fast-paced environment
