We are seeking an Operations Assistant to join our dynamic team at Case Financial. This role is essential in supporting our operations and ensuring smooth workflows within our organization. Located in the upper mid-west, you will contribute to our mission of delivering exceptional service while enjoying a collaborative and growth-focused atmosphere.

Job Summary: Operations Assistant (ATM) is a variable position that will be responsible for learning, supporting, and backing up three of our most important office & warehouse functions including Parts Management, Project Installation, and Dispatch Coordination on the ATM/TCR side of our operations.

Key Responsibilities:

  • Assist with Parts Management:
  • Process POs, RMAs, & Receive parts to and from vendors, verify contents upon receipt.
  • Inspect parts for accuracy and quality before labeling and shelving.
  • Handle discrepancies with vendors and manage parts disputes.
  • Maintain accurate inventory records in EA (Enterprise Application).
  • Ensure proper labeling and organization of parts in the warehouse as needed.
  • Monitor stock levels and forecast inventory needs to prevent shortages or overstock.
  • Manage the logistics of parts delivery to technicians in the field.
  • Handle shipping of parts to remote technicians using UPS and EA systems.
  • Assist with end-of-year inventory processes and maintain accurate records.
  • Perform additional functions incidental to supporting parts management activities as necessary.
  • Assist with Project Installation Coordination:
  • Contact customers to set up installations, vendor meets, site surveys.
  • Complete job & vendor paperwork.
  • Learn to invoice jobs as a backup to ATM Project Installation Coordinator.
  • Work in EA, Equipment databases, and Online Service Calendar to ensure accuracy.
  • Perform additional functions incidental to supporting installations coordinator activities as necessary.
  • Assist with Dispatch Coordination:
  • Take incoming customer calls.
  • Schedule and coordinate service calls as calls are received.
  • Create dispatch ticket for all service calls.
  • Dispatch Service Technicians.
  • Maintain the EA dispatch board.
  • Perform additional functions incidental to supporting installations coordinator activities as necessary.

Qualifications:

  • High school diploma or equivalent; additional education or certification in inventory management is a plus.
  • Experience in inventory control, logistics, or a related field.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Proficiency in using inventory management software and Microsoft Office Suite.
  • Excellent communication and problem-solving skills.

Physical Requirements:

  • Ability to lift and move parts and equipment as needed.
  • Comfortable working in both a warehouse or office environment.

Work Environment:

  • This position will spend a combination of time in the warehouse, front office, and occasional fieldwork to support technicians on as needed basis.
