Patient Care Coordinator

Casco Bay Hearing | Biddeford, Maine

Are you someone who genuinely enjoys helping people and wants to make a difference in their lives?

Casco Bay Hearing is looking for a warm, organized, dependable, and highly tech-savvy Patient Care Coordinator to join our growing independent hearing care practice.

Exceptional hearing care is about more than hearing better. It's about helping people do more of the things they want to do and enjoy the life they want to live. Whether that's staying independent, enjoying a favorite hobby, traveling, listening to music, participating in family activities, or simply feeling more confident in everyday situations, the impact of better hearing can reach far beyond the hearing itself.

One of the most rewarding parts of working in hearing care is seeing that impact firsthand. Watching a patient regain confidence, return to activities they love, or become more engaged with the people and experiences that matter to them, and seeing what that means to their family, is priceless.

We're looking for someone who wants to be part of that.

This is more than a traditional front desk position. As a small, independent practice, we're looking for someone who wants to build genuine relationships with patients, have a voice in how the practice grows, and take ownership of making things work well. You'll work closely with the owner and provider to create an exceptional patient experience while helping keep the practice organized, efficient, and running smoothly.

What You'll Do

Patient Care & Front Office

  • Welcome patients and provide a warm, professional experience from the moment they arrive
  • Answer phones, respond to messages, schedule appointments, and coordinate patient follow-up
  • Check patients in and out, process payments, and provide receipts and other necessary documentation
  • Communicate with patients regarding appointments, paperwork, questions, and next steps in their hearing care
  • Maintain accurate, complete, and up-to-date patient information in the EMR and other practice systems
  • Handle patient records and information with professionalism, discretion, and attention to HIPAA requirements

Practice Operations

  • Take ownership of the day-to-day front office experience and help ensure the practice stays organized and running efficiently
  • Assist with insurance information, patient paperwork, billing-related administrative tasks, and other office responsibilities
  • Maintain office supplies and inventory, and assist with ordering and receiving products
  • Identify problems, take initiative, and help develop solutions rather than simply waiting to be told what to do
  • Help create, improve, and implement office systems and processes as the practice grows
  • Help maintain a clean, organized, and welcoming clinical environment

Hearing Care Support

  • Learn about hearing care and hearing technology so you can confidently assist patients with routine questions
  • Assist with basic hearing aid troubleshooting, cleaning, and routine maintenance, including replacing domes, wax guards, and filters
  • Assist with assembling hearing aid orders and preparing devices, accessories, and supplies for patient appointments
  • Support the provider with day-to-day patient care and other clinical and office needs

We're Looking For Someone Who

We're looking for someone who is warm, personable, compassionate, dependable, and genuinely enjoys helping people. The right person will have a positive attitude, a willingness to learn, and a desire to grow alongside the practice.

  • Takes initiative and is comfortable working independently
  • Is organized, detail-oriented, and takes pride in doing things accurately
  • Is a strong communicator who is patient and professional
  • Is highly comfortable with technology and enjoys learning new software and systems
  • Can troubleshoot basic technology issues and confidently figure things out
  • Is curious, eager to learn, and interested in developing new skills
  • Takes ownership of their responsibilities and looks for ways to make things better
  • Genuinely cares about providing an excellent patient experience
  • Enjoys being part of a small team and having a voice in how the practice grows

Prior healthcare or hearing care experience is welcome but not required. We're looking for someone who wants to learn, grow, and genuinely make a difference in people's lives.
