Our client is seeking a professional and organized Administrative Assistant/Receptionist to provide front desk coverage and administrative support during a leave of absence. This is an excellent opportunity for someone who enjoys a fast-paced office environment and interacting with employees, executives, and visitors.
Key Responsibilities:
- - Greet visitors and answer/rout incoming calls
- - Provide administrative support to executive leadership
- - Manage calendars, meeting coordination, filing, scanning, and correspondence
- - Assist with expense reporting, travel documentation, and data entry
- - Coordinate office supplies, mail, shipping, and conference room setup
- - Support company events, employee recognition programs, and internal communications
- - Maintain front desk operations and ensure a professional office environment
- - Assist with special projects and additional administrative tasks as needed
Requirements
- Proven experience in office management or administrative support roles, ideally with front desk or medical receptionist background
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with spreadsheets and data entry
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional communication skills, including phone communication and customer support experience
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Experience with QuickBooks accounting software is a plus for handling basic financial transactions
- Demonstrated professionalism in phone etiquette, proofreading, and client communication
- Ability to manage time effectively while prioritizing tasks to maximize productivity
