What are the responsibilities and job description for the Patient Care Coordinator/Front Desk Receptionist position at Cascade Vision Center?
Cascade Vision Center is a progressive and growing optometry office that empowers our staff to provide top quality eye care and the best possible patient experience. We are seeking a full-time or part-time Front Desk Representative who wants to join our practice long-term and shares our passion for patient care.
This customer service position is the first person our patients see as they come in the door, so the role requires a friendly demeanor and positive attitude to provide a good start to the patient encounter. The ideal candidate thrives while working in a fast-paced team environment that requires multi-tasking and flexibility. Must be comfortable adapting to new ideas and adjusting quickly.
Daily work at the front desk in our clinic includes the following responsibilities:
- warmly greeting patients on the phone and in person;
- answering phones;
- scheduling patient appointments;
- verifying insurance;
- making appointment reminder calls;
- collecting and documenting payments;
- maintaining a clean and tidy reception area;
- updating patient accounts by obtaining and recording current contact information and health plan benefits;
- protecting patient confidentiality;
- being a supportive and collaborative team member; and
- other administrative and cross-training duties as assigned to support office operations.
This position reports directly to the office manager. The job location is in our Seattle clinic; however, employees may be asked to cross-cover in our Renton clinic on rare occasions. Reliable transportation to job locations is a must.
Minimum required skills/abilities:
- Confidence and ability to converse clearly while answering phone calls, greeting patients, and responding to patient inquiries.
- Attention to detail to schedule patients correctly and communicate scheduling difficulties with providers.
- Computer proficiency in typing, data entry, word processing, and spreadsheet programs.
- Excellent track record in customer service.
- Initiative to create a welcoming atmosphere for our patients.
- Exceptional interpersonal skills that support respectful communication with office staff, physicians, and patients, including the ability to interact positively with patients who may be upset or stressed.
- Demonstrated ability problem-solve quickly in a fast-paced environment.
- Exceptional time management skills, including ability to multi-task and prioritize work.
Additional preferred skills/abilities:
- Prior use of an electronic medical records system, ideally Revolution.
- Experience verifying insurance benefits.
- Familiarity with insurance coding and billing.
- Previous experience working in a healthcare setting (ideally in eye care) is strongly preferred, but not required. If you are motivated, we can train you.
Other requirements:
- Full-time employees must be able to work 32-40 hours per week. Weekday shifts are generally 8:00-5:00 pm, but are open different schedules such as 4 ten hour days.
- Must be available to work some Saturdays (8:30-3:00 pm).
- Must be available to attend twice monthly all-staff meetings beginning at 7:30 am.
- Must have reliable transportation to office locations.
- Must be willing to cross-train to cover office staffing needs on an occasional basis.
- As per Washington State law, must be fully vaccinated against COVID-19 (including booster, if applicable) and provide documentation of vaccination status.

- Cascade Vision Center, 4300 Talbot Rd. S., Ste. 400, Renton, WA 98055 (clinic hours: Monday-Friday 8:00-5:00 pm)

Hourly pay: Dependent on qualifications and experience.
