Facility Administrator

Job Summary:
The Facility Administrator provides essential administrative and organizational support to Operations and Management. This role ensures smooth day-to-day office functions, assists with onboarding and employee support tasks (badges, paperwork, compliance requirements), maintains documentation, coordinates communication between departments, and helps leadership stay organized and efficient.
This position requires strong attention to detail, excellent communication skills, and a proactive, team-oriented attitude. The Facility Administrator plays an important role in supporting a growing cannabis operation while maintaining professionalism, confidentiality, and adherence to regulatory standards.
Key Responsibilities:
- Coordinate onboarding steps for all new hires (badges, paperwork, orientation scheduling).
- Prepare and distribute new-hire packets, manuals, policies, and forms.
- Create and manage employee badges, access cards, and uniform requests.
- Maintain updated employee files (digital and physical), ensuring confidentiality and compliance.
- Assist with reporting, attendance tracking, and employee record audits.
- Serve as the first point of contact for employees, vendors, and visitors.
- Organize office supplies, maintain inventory, and coordinate purchases.
- Assist in preparing reports, memos, spreadsheets, and presentations.
- Support filing, scanning, document organization, and data entry tasks.
- Assist management with coordinating meetings, taking minutes, and distributing summaries.
- Support cross-department communication to keep workflows on track.
- Help track project deadlines, follow-ups, and action items for leadership.
- Ensure onboarding materials meet state cannabis regulatory standards.
- Track and update compliance documents such as training logs, badges, and certifications.
- Assist with internal audits of paperwork, employee access, and SOP adherence.
Qualifications:
- High school diploma or equivalent; associate degree preferred.
- 1 year of administrative, HR support, or office coordination experience.
- Strong organizational skills and excellent attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Strong written and verbal communication skills.
- Proficient with Microsoft Office, and basic data entry.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience in cannabis operations or regulated industries is a plus, but not required.
Working Conditions:
- Office environment with frequent interaction across multiple departments.
- Require visits to cultivation/production areas.
- Must be comfortable handling confidential information.
