Position Overview
The Fund Development Specialist is responsible for executing CASA’s fundraising and donor engagement efforts. This role implements fundraising strategies established by the Executive Director to support organizational sustainability and growth. The Fund Development Specialist manages donor relationships, coordinates fundraising initiatives, and ensures accurate tracking and reporting of all development activities.
This position works closely with the Marketing & Communications team, Program staff, and Office Administration to ensure alignment across messaging, data, and donor engagement efforts.
Essential Duties and Responsibilities1. Fundraising Execution & Donor Engagement
- Execute fundraising strategies as directed by the Executive Director.
- Manage day-to-day donor engagement and communication efforts.
- Maintain and strengthen relationships with donors and supporters.
- Coordinate donor outreach, follow-up, and engagement activities.
- Ensure consistent and timely communication with all donors.
2. Donor Relationship Management
- Independently manage donor relationships under $5,000.
- Support the Executive Director in managing donor relationships over $5,000.
- Coordinate donor meetings, communications, and follow-up as needed.
- Maintain accurate donor records and engagement history.
- Identify opportunities to strengthen donor relationships and increase giving.
3. Grant Management & Coordination
- Execute grant processes, including application preparation, submission coordination, and reporting requirements.
- Maintain a centralized grant calendar with all application and reporting deadlines.
- Maintain organized grant files in a shared Google Drive folder for continuity and accessibility.
- Collaborate with the Program Manager and Program Specialist to gather accurate data for grant reporting.
- Ensure all grant deadlines, requirements, and deliverables are met.
- Support the identification and alignment of grant opportunities with organizational priorities.
4. Grant Research & External Coordination
- Conduct ongoing grant research to identify new funding opportunities.
- Evaluate opportunities based on alignment with CASA’s programs and priorities.
- Serve as the primary point of contact for contracted grant writers, if utilized.
- Coordinate with grant writers by providing materials, data, deadlines, and organizational context.
- Ensure continuity and organization of all grant-related work across internal and external contributors.
5. Donor Communications & Materials
- Draft donor communications, including letters, emails, acknowledgments, and updates.
- Ensure all donor-facing materials align with organizational messaging and tone.
- Collaborate with Marketing & Communications for content, design, and storytelling.
- Prepare materials for the Executive Director to deliver donor communications.
- Maintain consistency and professionalism in all donor interactions.
6. Fundraising Campaigns & Events
- Coordinate execution of fundraising campaigns and initiatives.
- Support planning and implementation of fundraising events.
- Collaborate with Marketing & Communications on event promotion and outreach.
- Ensure all campaign activities are organized, tracked, and completed.
- Support donor engagement efforts tied to campaigns and events.
7. Data Tracking & Development Reporting
- Maintain accurate and up-to-date donor database and records.
- Track all donations, pledges, and fundraising activities.
- Monitor progress toward fundraising goals and targets.
- Provide regular reports to the Executive Director on fundraising performance.
- Ensure data accuracy and integrity across all development systems.
8. Donor Acknowledgment Coordination
- Coordinate with the Office Administrator to ensure timely generation of donor acknowledgment and tax letters.
- Provide necessary donor and gift information to support accurate documentation.
- Ensure acknowledgment processes are consistent, timely, and compliant with requirements.
- Maintain oversight of acknowledgment completion and follow-up as needed.
9. Collaboration with Marketing & Communications
- Align fundraising efforts with marketing and communications strategies.
- Utilize storytelling and content provided by Marketing & Communications to support donor engagement.
- Coordinate messaging across campaigns, events, and donor communications.
- Provide feedback on content effectiveness and donor response.
10. Program Collaboration & Impact Alignment
- Collaborate with the Program Manager and Program Specialist to understand program impact and outcomes.
- Ensure fundraising efforts accurately reflect program data and impact.
- Utilize program insights to strengthen donor communications and proposals.
- Maintain alignment between fundraising messaging and program realities.
11. SOP Development & Maintenance
- Maintain and update SOPs related to fundraising, donor management, and grant processes.
- Ensure SOPs are clear, accurate, and consistently followed.
- Participate in SOP review cycles:
- Monthly for new or updated processes
- Quarterly for established processes
- Recommend improvements based on fundraising performance and operational needs.
12. Backfill & Operational Support
- Receive backfill support from the Marketing & Communications Specialist for donor communications and campaign execution.
- Serve as backfill support for Marketing & Communications functions as needed.
- Maintain continuity of fundraising activities during staff absences.
- Support organizational needs during high-demand periods.
- Escalate strategic decisions, major donor engagement, and high-level opportunities to the Executive Director.
13. Other Duties as Assigned
- Perform additional duties as needed to support the organization’s mission and operations.
Pay: $43,000.00 - $53,000.00 per year
