The Volunteer Coordinator is responsible for recruiting, onboarding and training volunteers for CASA of Shawnee County, Inc. The Volunteer Coordinator serves as an ambassador of CASA of Shawnee County, Inc. assisting with building support for its mission. The Volunteer Coordinator ensures that all national, state and local standards are adhered to.

Supervisor: Executive Director

Classification: Non-Exempt, Part-Time (15-20 hours per week)

Qualifications:

  • Must be 21 years of age or older
  • High school diploma/equivalent or higher (required). Associate or bachelor’s degree in public relations, marketing, communications or social services preferred.
  • 1 years’ experience with volunteer or staff management preferred.
  • Experience with the foster care system, Department of Children and Families or its contractors, Juvenile Court system, Court Appointed Special Advocates, or other child welfare agencies preferred.
  • Computer literate with ability to use Microsoft Office products and other databases.
  • Ability to take initiative and be organized.
  • Ability to pass a thorough background check.
  • Professional dress and demeanor in keeping with CASA’s standards.
  • Professional communication and presentation skills, both verbal and written.
  • Experience with public speaking, preferably with diverse audiences.
  • Ability to work independently and collaboratively as a team member.
  • Availability for evening and weekend hours as needed.
  • Commitment to serve all people, regardless of race, gender, age, socio-economic status, and sexual orientation.
  • Must have daily reliable transportation, a current driver’s license and current auto insurance.

CORE RESPONSIBILITIES:

Volunteer Recruitment

  • In coordination with the Executive Director, creates and implements a comprehensive volunteer recruitment plan designed to attract a qualified and diverse volunteer pool to meet the organization’s needs.
  • Establish relationships within the community to foster opportunities for volunteer recruitment with civic, faith-based, business and government groups.
  • Conduct ongoing outreach through community presentations, representation at community fairs and special recruitment events.
  • Maintain up-to-date volunteer opportunities on digital volunteer boards and sites.
  • Coordinate with designated CASA staff to support/inform marketing efforts around volunteer recruitment and retention.
  • Follow-up with initial inquiries (in-person, phone, or email) about volunteer opportunities, adhering to the policy and timelines set by the Executive Director.
  • Maintain accurate and current statistics of recruitment contacts, interviews, and outcomes.
  • Screen prospective volunteers and conduct personal interviews with the assistance of other CASA staff and evaluate applicants’ volunteer experience and appropriateness for the organization.
  • Attend monthly virtual KCA Volunteer Recruitment forums.
  • Liaison with the CASA Advisory Board as needed to assist with volunteer recruitment efforts.

Volunteer Training

  • Develop an annual training calendar in coordination with the team for pre-service and in-service training for volunteers.
  • Develop and maintain volunteer training materials for pre-service and in-service training.
  • Schedule and coordinate guest speakers for pre-service and in-service training in coordination with CASA staff.
  • Conduct engaging pre-service and in-service training sessions in coordination with CASA staff.
  • Prepare & collect participant evaluations of pre-service training to inform opportunities to improve training that is offered.

Volunteer File Maintenance/Record Keeping/Reporting

  • Create and maintain organized volunteer files to remain in compliance with OJA/NCASAA standards, including updating background checks in a timely manner.
  • Ensure digital volunteer files are up to date in accordance with CASA of Shawnee County, Inc. policies.
  • Maintain up to date database to track volunteer in-service hours and in-service hours offered.
  • Complete monthly written reports to the Executive Director.

Volunteer Retention

  • Assist in planning the Annual Volunteer Appreciation Event.
  • Assist and support strategies to improve volunteer retention.

Additional Duties

  • Always maintain confidentiality of case and volunteer information.
  • Maintains positive working relationships with CASA staff, volunteers and Board of Directors.
  • Complies with and supports all policies and procedures of CASA of Shawnee County CASA, Inc.
  • Assists with and/or participates in fundraisers and presentations to groups.
  • Represent CASA of Shawnee County, Inc. at meetings/seminars/conferences as requested by the Executive Director.·
