Join our dedicated Health & Human Services team as an Administrative Assistant, supporting staff who make a meaningful difference in our community. Under the direction of the Income Support Manager, the HHS Administrative Assistant is responsible for assisting agency staff with caseload management by providing data entry and word processing support. This includes the preparation of legal documents, resumes, case dictation, cover letters, court reports, petitions, letters, memorandum, forms, newsletters, reports, charts, policies or other correspondence from rough draft, staff instructions, or transcription. The HHS Administrative Assistant provides other office support services by maintaining department files/records, providing back-up clerical and Resource Specialist support, the ordering of office supplies and the preparation of unit/department claim forms or purchase orders.
This position will work at the Chaska Government Center Monday through Friday from 8:00 a.m. - 4:30 p.m.

- Provides direct support to Income Support Staff.
- Initiates, maintains and updates a variety of client case management documents/database records using SSIS, Credible, Access and other database systems.
- Serves as a word processing specialist in the preparation of various documents, correspondence, forms, reports, or materials requested by unit/agency staff from rough draft, transcription, or staff instructions.
- Access various State and County Systems to retrieve documents and information.
- Updates and maintains files, records, reports and documents.
- Processes incoming mail using Compass Pilot, OnBase, and Scan Pro; prepares outgoing mail.
- Maintains agency forms and informational packets using Compass Forms.
- Maintains and orders agency supplies and vouchers.
- Registers staff for trainings and books flights and lodging as needed.
- Attends meetings and seminars to learn and acquire developmental and human services skills needed to carry out assignments and responsibilities.
- Communicates and interacts effectively and respectfully with customers, employees, supervisors, and individuals from other departments and organizations.
- Provides direct services to customers.
- Provides back-up assistance to customers in the absence of the Resource Specialist (CareerForce Center service area only).
- Provides back-up assistance at the front desk
- Performs other duties as assigned.
