Role and Team

  • Reporting to the designated manager, the Transportation Specialist performs various administrative and clerical duties, and assists in the coordination of the movement of consignment vehicles, and other accounts as assigned, to and from the auction in accordance with Corporate and CarsArrive guidelines to ensure maximum production volume in the most profitable way possible.

Responsibilities

  • Make sure customers receive prompt, efficient and courteous attention.
  • Maintain a professional appearance, orderly work environment and friendly disposition.
  • Resolve any customer complaints in a friendly, courteous manner and advise Management of all serious complaints or incidences.
  • Respond in a timely manner to all customer inquiries.

Specific Responsibilities

  • Act as a point of contact for transportation within the local auction and ensure customers receive prompt, efficient and courteous attention.
  • Must be computer literate and have full command of MS Office products. Will act as a subject matter expert for the Transportation Management System (TMS) at the site.
  • Specialist is expected to follow the CarsArrive Manual of ADESA Processes to attain department goals.
  • Coordinate with auction drivers to make sure vehicles are picked up in a timely and efficient manner.
  • Properly dispatch loads for correct arrival time and location.
  • Follow up with dealerships/customers to make sure the load arrived safely and on time.
  • Negotiate contracts with sublet carriers and ensure compliance with all contractual customer, contractor, and supplier agreements.
  • Practice and promote teamwork. Set a good personal example of attitude and performance.
  • Assists with proper staffing, in connection with the volume of pickup and delivery orders.
  • Assist the CarsArrive team with the coordination of vehicles to the required destination.
  • Aid the CarsArrive team with the coordination of transportation activities between auction, customer, office and/or drivers to ensure the department can function in the most efficient, productive, and profitable manner.
  • Facilitate the Department of Transportation items for the local auction.
  • Work with the CarsArrive Team and the corporate transportation department to reduce network costs and improve service.
  • Ensure proper follow-through on all directives, bulletins, schedules, and accounting from the CarsArrive team and corporate transportation department. Maintain a good flow of communication with CarsArrive team and all other related personnel.
  • Any other duties assigned by the General Manager or designated manager.

Qualifications

  • Must be at least eighteen (18) years of age.
  • Must be qualified to operate a motor vehicle and possess a valid driver’s license.
  • High School Diploma or GED required.
  • 1 to 2 years of office experience in the transportation industry preferred.
  • Effective customer relations, communication and interpersonal skills required.
  • Proficiency with Microsoft Office Products or Google Suites required.
  • The ability to type.
  • Must have organizational skills, be detail oriented with the ability to multi-task.
  • Must have a demonstrated ability to read, write, and communicate effectively in English.
  • Ability to understand and adhere to Company policies in all areas.
  • Must have the ability to physically operate vehicle equipment and tools.

Physical Working Conditions

This position is subject to both inside and outside environmental working conditions, including temperature changes, outside weather conditions, slightly elevated ambient noise levels, and minor atmospheric conditions affecting skin or respiratory systems, such as fumes, odors and dusts associated with internal and external service station/convenience food and petroleum dispensing operations.
