Job Title: Federal Programs Specialist
Responsible to:
- Director of Special Services (IDEA, Part B Entitlement)
- Assistant Superintendent for Instruction (Title I.C; Title II.A; Title II.D; Title III LEP; Title III Immigrant)
- Title I.A Director (Title I.A)
Purpose Statement: The job of Federal Programs Coordinator is done for the purpose/s of providing administrative and secretarial support to the assigned administer; motoring assigned activities; and providing information, recommendations and/or direction as requested.
Essential Functions
- Prepares Consolidated Federal Programs and Special Education Applications.
- Processes, tracks and monitors project activities per approved application/amendment.
- Reconciles account balances for assigned budget categories for the purpose of maintaining accurate account balances.
- Files Final Reports subject to DESE and district audits.
- Other administrative duties as directed by the Assistant Superintendent for Instruction, the Director of Special Services and the Title I.A Director.
- Compiles data from a variety of sources (e.g. budget reports, specialized reports, personnel records, etc.) for the purpose of complying with financial, state and federal requirements, legal and/or administrative requirements.
- Maintains manual and electronic documents files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Researches a variety of topics (e.g. current practices, policies, education codes, etc.) for the purpose of providing information and/or recommendations that address a variety of administrative and program requirements.
Other Functions
- Answers telephones and security buzzer system when needed for the purpose of screening calls, transferring calls, responding to inquires and/or taking messages, and providing security for front door.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Qualifications
- Ability to communicate orally and in writing
- Computer skills, experience with Microsoft Excel and Google Drive desired
- Self-driven
- Good organizational skills and attention to detail
- Ability to research specific topics to find needed answers
- Experience in working in an institution of education, preferred

Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 70% sitting, 10% walking, and 20% standing. The job is performed in a generally clean and healthy environment.
