HYGIENE SCHEDULING COORDINATOR RESPONSIBILITIES:
Open office each morning (preferably 15 minutes prior to first patient of the day)
Greet patients with enthusiasm and a huge smile calling each patient by their first
name!
Patient Check-In Process
- Update photo and ensure the patient’s driver’s license is in file
- Verify patient information is correct: addresses, phone numbers, insurance card information, etc.
- Take patient temperature and escort patient to their treatment room when needed
- Update address changes in patient charts from undeliverable mail
- Collect monies owed for today’s appointment and mark route slips with green highlighter for pts paid (or that don’t owe anything)
Be the first person to answer the phone:
- Route patients to the appropriate CFD personnel
- Ensure messages are being returned asap in the morning prior to the first patient appointment time
- Check messages every hour throughout the day
- Call late/missed appointments within the first 10 minutes of their appointment to reschedule
New patient paperwork must be scanned/uploaded into the patient’s chart and reviewed/updated appropriately within Open Dental
MUST confirm all hygiene appointments at least 48 hours in advance
Send Health History Form to be updated and completed
Individual must work diligently to fill open hygiene spots in the schedule and/or move patients up as needed utilizing the short call list
Maintain integrity of the scheduling template to reduce stress for the clinic and to serve the patient at the highest level
Manage and monitor office emails
Close office at the end of the day
Must follow all policies and procedures presented in the employee handbook
Qualifications/Requirements:
- High school degree or equivalent
- Prolonged sitting at a desk (average 6 hours/day)
- Ability to attend to multiple tasks at the same time and to prioritize assignments as needed
- Must be organized and detail oriented
- Must be able to communicate clearly through a telephone
Preferred Qualifications:
- Previous Work at a Dental Office or Similar Environment
- Open Dental Software Knowledge
- Bilingual
- CPR Certified
Working Conditions:

- Minimal lifting required for inventory upkeep
- Must be able to use both left and right hand
