Position Summary
The Intake Specialist plays a vital role in creating a positive first impression for potential clients. This position is responsible for answering incoming calls, gathering case information, screening potential clients, scheduling consultations, and maintaining accurate records in the firm's case management system. The ideal candidate is an excellent communicator who thrives in a fast-paced environment and is committed to delivering outstanding client service.
Key Responsibilities
- Answer and manage incoming phone calls, emails, and online inquiries.
- Conduct initial client intake interviews and collect relevant case information.
- Evaluate prospective client inquiries according to firm guidelines.
- Schedule consultations with attorneys.
- Enter and maintain accurate client information in the case management system.
- Follow up with prospective clients as needed.
- Communicate professionally and empathetically with clients during potentially stressful situations.
- Coordinate with attorneys and staff to ensure a smooth onboarding process.
- Maintain confidentiality and comply with all firm policies.
Qualifications
- High school diploma or equivalent required.
- Previous experience in a law firm, legal intake, customer service, call center, or client relations preferred.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office and case management software.
- Ability to work independently while contributing to a collaborative team.
