What are the responsibilities and job description for the Law Firm Receptionist / Office Assistant position at Carrazco Law A.P.C.?

Our friendly and fast-paced Law firm is seeking a Bilingual Spanish-speaking Receptionist/office assistant to join our team! Our areas of practice are workers’ compensation, personal injury, and civil rights.

The receptionist will be the first point of contact for the company and will provide administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality, in a timely manner.

Candidates should have at least 2 years of experience in customer service. Legal experience is preferred but not necessary.

  • Must be able to effectively communicate with our Spanish-speaking clients.
  • Welcome, assist, and direct clients properly.
  • Kindly greet clients in person and over the phone
  • Answer and transfer calls to the right recipients
  • Check both mail stations for outgoing mail twice a day
  • Check faxes consistently throughout the day- sort faxes and move to designated folders
  • Calls received outside of office hours are transcribed into an email that is sent to the front desk, the front desk is then responsible for forwarding the message to the proper recipient.
  • Utilize our client databases whenever you’re unsure as to which attorney is handling whichever case
  • Keep conference rooms tidy
  • Keep coffee station fully stocked
  • Type, scan and copy documents
  • Offer support to office staff
  • Keep office supplies organized and reorder supplies via Staples or Amazon when necessary
  • Screen new potential client calls and forward caller information to appropriate department
  • Keep record of where potential clients are being referred from
  • Keep record and provide referrals for callers outside of the firm’s area of practice
  • Provide copies or scan and forward documents when asked by attorneys, assistants, or those visiting
  • Accept payments and issue receipts when needed
  • Keep the firm’s extension/contact list updated, issue out new copies when needed
  • Accept mail & packages delivered to the office, sign when necessary
  • Prepare outgoing mail for the firm- regular postage, certified mail, and packages
  • Operate and maintain our postage machine
  • Manage conference room bookings and log appointments into the front desk calendar
  • Fill out an appropriate form when case files are dropped off at the front desk. These files are time-sensitive; you must alert the office manager when a file has been dropped off.

The pay range depends on experience.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 40 per week
