Under minimum supervision, the Contract Management Associate performs specialized clerical duties which require frequent exercise of independent judgment and a thorough understanding of applicable procedures in the department.

The Contract Management Associate is a full-time position, with a core work schedule of Monday through Friday, 8:00 AM – 5:00 PM. This position reports directly to the Employer Services Manager.

Position Functions and Responsibilities:

  • Provide direct department support and guidance to CSAC, Regional Council’s, Trustees, Employers, Public Agencies, Business Agents, to complete tasks. Escalate urgent matters to Department Manager as necessary.
  • Initiate eFlows processing upon receipt of new agreements from each respective Regional Council.
  • Set up new Employers and add new agreement links to current Employers
  • Prepare and distribute New Employer Packages.
  • Prepare and distribute Delinquency List and Monthly Status book as scheduled.
  • Prepare other ad hoc reporting tasks as needed.
  • Perform and assist with other duties as requested or assigned by department Director, Manager, and/or Supervisor.
  • Provide excellent customer service to all CSAC stakeholders.
  • Complete administrative tasks needed to maintain all Department projects on track.
  • Help with projects assigned by and to the Department.
  • Ensure that fund rates, APPs, and contract links in ServiceXG (gobasys) are updated to match each employer's specific MLA area.
  • Ensure that all agreement links, contract codes, and fund rates are accurately updated and maintained in Smartsheet.
  • Ensure that employer status dates are kept up to date according to the relevant agreements and reporting status (Active, Inactive,etc).
  • Ensure that employer records are maintained in compliance with bond requirements.
  • Provide information, support employers, and coordinate the onboarding process for both employers and employees participating in C4A and Non-Bargaining programs.

Required Qualifications and Skills:

  • 3-4 years related experience is highly preferred.
  • Strong working knowledge with Microsoft Office applications.
  • Professional phone etiquette, appearance, demeanor and customer service skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills to interact effectively with all levels of staff, management, employers, visitors, and other CSAC professionals and vendors.
  • High School Diploma. (College Degree is a plus)

Experience:
