We are looking for a reliable and detail-oriented individual to manage the flow of physical and digital communications within a well-known law firm we support. This role is essential to ensuring that time-sensitive legal documents reach the correct parties and that the daily operational needs of our legal teams are met.
Key Responsibilities
- Efficiently sort, track, and deliver incoming mail, packages, and legal correspondence to various individuals.
- Prepare and process outgoing mail and expedited shipments (FedEx, UPS, etc.), ensuring proper postage and tracking documentation.
- Act as a central point for moving files or supplies between different floors or office locations as needed.
- Assist with basic document tasks which may include scanning, photocopying, and preparing mailings for courier pickup.
- Provide flexible administrative assistance to office management and legal staff to support the firm’s daily workflow.
Qualifications & Skills
- Ability to represent the firm well and maintain strict confidentiality regarding sensitive legal matters.
- Strong attention to detail and the ability to prioritize tasks in a fast-paced environment.
- Consistent punctuality and a proactive approach to completing daily rounds.
- Clear verbal and written communication skills for interacting with attorneys, staff, and external couriers.
- Must be comfortable being on your feet for extended periods and able to lift mail bins or boxes.
