Carolina Headache Institute is a growing specialty neurology practice in Durham, NC dedicated exclusively to the diagnosis and treatment of headache disorders. We are seeking a full-time Medical Office Administrative Assistant to join our close-knit team.
This is a dynamic administrative role that offers the opportunity to learn many aspects of medical office operations and grow professionally within the practice. We are looking for someone who is organized, dependable, patient-focused, and enjoys working in a fast-paced environment where every day is different.
Responsibilities
Responsibilities include, but are not limited to:
- Answering and managing a multi-line phone system
- Greeting and checking patients in and out
- Scheduling appointments and coordinating provider schedules
- Triaging incoming phone calls and routing patient concerns appropriately
- Managing patient messages, voicemails, and electronic communications
- Working within our electronic medical record (Athena)
- Processing medical records and incoming referrals
- Obtaining insurance prior authorizations for medications, imaging, and procedures
- Coordinating with pharmacies, insurance companies, referring providers, and outside facilities
- Maintaining accurate patient documentation and data entry
- Supporting physicians and clinical staff with daily administrative needs
- Assisting with additional administrative projects as needed

Preferred Qualifications
- Medical office experience
- Administrative experience
- Experience with electronic medical records (Athena preferred)
