Salary: $50,000 to $85,000 per year

Carolina Builders and Design is seeking an experienced Construction Office Administrator to support our growing construction operations in Kernersville, NC. This is a full time, on site position for someone who is organized, reliable, detail focused, and comfortable working in a fast paced construction office environment.

The Office Administrator will help manage day to day administrative operations, support project teams, coordinate documentation, communicate with vendors and subcontractors, and assist with scheduling, permits, contracts, invoices, and other construction related paperwork. The ideal candidate will have prior experience in the construction industry and a strong understanding of how construction projects move from planning to completion.

Responsibilities

  • Manage daily office administration and support construction project operations.
  • Coordinate with project managers, vendors, subcontractors, suppliers, and internal team members.
  • Prepare, organize, and maintain construction documents, including permits, contracts, invoices, submittals, change orders, purchase orders, and project files.
  • Assist with scheduling meetings, inspections, deliveries, and project related appointments.
  • Track deadlines, follow up on pending documents, and help ensure smooth project communication.
  • Support billing, invoice processing, vendor coordination, and basic administrative accounting tasks.
  • Maintain organized digital and physical records for active and completed projects.
  • Communicate professionally with clients, subcontractors, suppliers, and team members.
  • Assist with general office duties as needed to support company operations.

Qualifications

  • Minimum 2 years of experience in the construction industry preferred.
  • Experience with commercial construction projects is strongly preferred.
  • Knowledge of construction documentation, permits, contracts, invoices, submittals, and project workflows.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Experience with construction or project management software is a plus.
  • Ability to work independently in an on site office setting.
  • Reliable, self motivated, professional, and detail oriented.
