Retail & Visitor Services Assistant - Part-Time
Reports to: Associate Director, Retail and Licensing Director, Visitor Services and Volunteers
Scope:
The Retail & Visitor Services Assistant will support Carnegie Hall's Retail Operations and the Visitor Services and Volunteers Department with public-facing interactions and administrative tasks. Individuals should have outgoing, affable personalities who enjoy working proactively with the public in diverse group settings. The assistant will help manage daily group tour operations in the lively Box Office Lobby. This role supports Information Desk operations and the volunteers who staff the table. The individual will assist with in-person and online sales in the gift shop, along with daily cash accounting of all gift shop locations. They will provide strong administrative support with daily clerical duties and responding to general customer service queries, private tour operators, and volunteers by online chat, email, and phone. They will also help to maintain Visitor Services and Retail Operations spaces and materials and assist with related Visitor Services and Volunteers and Retail Operations assignments.
Responsibilities:
- Facilitate a busy schedule of public and private group tours and coordinate with House Management, Box Office, and docents to facilitate daily tour operations.
- Proactively give directions and instructions to large groups of people gathering to take tours in the lobby.
- Onsite management of the Information Desk and volunteers staffing the desk.
- Maintain the Box Office Lobby space as it pertains to tour operations.
- Assist with in-person and online sales in the gift shop, along with daily cash accounting of all gift shop locations.
- Stocking, arrangement, and organization of merchandise daily.
- Oversight Responsibilities and Coordination for Artist Merchandise and CD/Book Signing Events
- Administrative duties, including preparing and processing interdepartmental transfers of merchandise and updating the Tours Hotline.
- Assist with general customer service queries and respond to private tour operators and volunteer inquiries by online chat, email, and phone.
- Additional administrative and clerical tasks as needed.
Qualifications:
- Engaging, proactive, and outgoing personality who enjoys working with others in diverse group settings.
- The assistant should also have strong interpersonal, customer service, administrative, and phone skills.
- Thrives on being a fast learner who is self-motivated and can work proactively and independently.
- Enjoys keeping track of important details using strong organizational skills.
- Excellent time management in a fast-paced environment working independently and collaboratively.
- Knowledge of Microsoft Office Suite required. SharePoint, Tessitura, and retail experience a plus.
- Strong email writing skills and comfortable with Excel spreadsheets and Word documents.
- Flexible schedule with a mix of daytimes, evenings, and weekend shift availability. Saturday availability is required. Average 4-5 shifts/15-20 hours per week.
