Duties
- Greet and assist visitors, patients, and staff with professionalism and warmth
- Manage multi-line phone systems, directing calls accurately and courteously
- Handle data entry tasks using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems and manage office supplies inventory
- Schedule appointments with attention to detail
- Support patient scheduling tasks including proofreading documents, managing referrals, and updating and maintaining patient records.
- Provide excellent customer support through clear communication via phone, email, or in person
- Ensure phone etiquette is maintained at all times while handling inquiries efficiently
- Assist with basic office management duties to promote productivity and organization
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and data entry tools
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills combined with professional phone communication and phone etiquette
- Experience with multi-line phone systems and front desk operations preferred
- Knowledge of office management practices including filing, calendar management, and clerical procedures
