What are the responsibilities and job description for the Talent Acquisition Onboarding Agent position at Carle Health?
Position Summary:
The Onboarding Agent (OBA) is the first point of contact for Onboarding and Pre-employment inquiries. Specific tasks include processing employment agreements, background checks, I-9 review and compliance, new hire questions and ensuring each new employee is set up correctly in the HRIS system.

EDUCATIONAL REQUIREMENTS
Associate's degree required within one (1) year of hire.
CERTIFICATION & LICENSURE REQUIREMENTS
None
EXPERIENCE REQUIREMENTS
Four (4) years of hands-on experience with Human Resources Information Systems (HRIS)
SKILLS AND KNOWLEDGE
Solid communication skills (verbal and written) Highly detailed- oriented, organized and execution-focused
Essential Functions:
- Review all new hire paperwork for accuracy and ensure that all necessary forms have been received.
- Initiates and makes outbound calls and emails to new hires relating to onboarding process and next steps.
- Initiates background and onboarding tasks required.
- Verifies new hires complete pre-employment physical, immunization review and drug screening
- Communicates status regularly to all necessary parties, i.e. TAPs, Hiring Leaders, Compliance, Benefits and HRIS Teams when required
- Ensure all logged onboarding issues are monitored and followed up on and cleared in a timely manner
- Liaison for Occupational Medicine clearance
- Ensure employee completes and process I-9 documents and verifications
- Ensure employee signature and information is accurate for sign on bonus, relocation assistance ageement for each bonus eligible position. Including BSN bonus agteements and entering bonuses accurately in Lawson after signed and Onbase into the system
- Conducts new hire appointments (including fingerprinting required new hires)
- Completes the hiring process after the new hire appointment
- Assist new hires when required with virtual New Employee information
- Process new hire photo for security badge
- Partner with external vendor on ensuring all required compliance files are completed thoroughly
- Conducts New Hire Employment Verifications
- Onbase new hire paperwork in employee files
- Tracking pending Carle Recognition requirements, i.d. Diploma after graduations and updaing employee records
