Position Overview
CaringHeart Therapy is seeking a dependable, organized, and personable Part-Time Office Assistant to support daily administrative operations at our outpatient clinic. The Office Assistant will play an important role in ensuring smooth front-desk operations, supporting therapists and staff, and creating a welcoming experience for children and families. Key Responsibilities
- Greet clients and families with professionalism and warmth
- Answer and direct phone calls, text messages, and emails
- Schedule, confirm, and manage appointments and calendars
- Assist with intake paperwork, filing, and maintaining organized records
- Perform data entry and basic document review for accuracy
- Use Microsoft Office and Google Workspace for routine administrative tasks
- Support basic billing and bookkeeping tasks (training provided as needed)
- Maintain front-desk organization, office supplies, and a tidy workspace
- Assist with general office management tasks and special projects as assigned
- Maintain confidentiality and comply with HIPAA requirements
Required Skills & Qualifications
- High school diploma or equivalent
- Strong organizational and time-management skills
- Excellent verbal and written communication skills
- Professional phone etiquette and customer service skills
- Comfortable using computers, email, and office software
- Ability to work independently and follow through on tasks
Pay: From $13.00 per hour
Expected hours: 8.0 – 12.0 per week
