What We’re Looking For:

- Previous experience in a medical office or administrative role preferred
- Strong organizational and multitasking skills

- Oversee daily office operations, ensuring all administrative functions are executed efficiently and accurately
- Manage scheduling for meetings, appointments, and events, including calendar coordination and room bookings
- Supervise administrative staff, providing training, guidance, and performance feedback to promote team development
- Handle vendor management by coordinating supplies, services, and contracts to maintain optimal office functionality
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software for invoicing and expense tracking
- Support human resources functions such as onboarding new employees, managing payroll processes, and maintaining personnel files
- Organize office files and documents through effective filing systems; ensure compliance with record retention policies
- Assist with event planning for company meetings, employee appreciation events, or community outreach initiatives
- Manage front desk responsibilities including multi-line phone systems, greeting visitors with professional phone etiquette, and directing inquiries appropriatel
- Assist with overseeing front office operations and administrative staff
- Coordinate patient scheduling, registration, and check-in/check-out processes
- Maintain accurate records and ensure compliance with clinic policies and procedures
- Support billing, insurance verification, and basic financial tasks
- Help manage office supplies and maintain an organized work environment
- Address patient inquiries and resolve concerns in a professional manner
- Proficiency with office software and electronic medical records systems
- Ability to work independently and as part of a team
- Proven supervisory experience in an office setting or administrative environment
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Experience with QuickBooks or comparable bookkeeping software is highly desirable
- Demonstrated proficiency in schedule management and calendar coordination
- Knowledge of vendor management practices and contract negotiations
- Background in human resources functions such as payroll processing and employee onboarding preferred
- Familiarity with office management procedures within medical or healthcare settings is a plus
- Excellent communication skills—both verbal and written—along with professional phone etiquette
- Prior clerical or administrative experience in a fast-paced environment is advantageous
