Overview of Role:
Reports to: President
The Procurement & Inventory Coordinator (“PIC”) will play a critical role in supporting the operational and administrative functions of Carey’s Seamless Gutters & Overhead Doors. This role will oversee purchasing, inventory coordination, vendor account management, pricebook maintenance, and procurement-related accounting support across the Company’s gutter and overhead door operations.
The PIC will work closely with operations, scheduling, accounting, and field teams to ensure inventory accuracy, timely procurement of materials, pricing integrity, and strong vendor relationships. This individual will also provide scheduling support as needed and assist with maintaining operational continuity across the business.
The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced home services environment. This role requires strong communication skills, accountability, and a customer service mindset when working with both internal teams and external vendor partners.
What You’ll Do:
As Carey’s Procurement & Inventory Coordinator, you will be responsible for the following:
Operational
- Manage purchasing activities for gutter, overhead door, opener, and related material categories to support field operations and installation schedules.
- Maintain accurate inventory levels across warehouse and operational locations, ensuring timely replenishment of materials and minimizing stock shortages.
- Coordinate inventory counts, cycle counts, and inventory reconciliation processes.
- Monitor inventory usage trends and collaborate with operations leadership to forecast material needs.
- Support scheduling operations as a backup resource, assisting with technician and installation scheduling as needed.
- Oversee warehouse staging processes for next day installations, service, and related projects.
- Assist with special operational projects, process improvements, and cross-functional initiatives.
- Ensure timely and accurate data entry and documentation across procurement, inventory, and vendor management systems.
Purchasing Vendor Management
- Develop and maintain strong working relationships with key vendors and manufacturer partners across gutter and overhead door product categories.
- Serve as a key point of contact for vendor account management, including communication related to orders, pricing, product availability, delivery coordination, and issue resolution.
- Evaluate vendor performance related to pricing, service levels, quality, and delivery timelines.
- Coordinate purchase orders and ensure timely receipt of materials required for operations.
- Work proactively with vendors and Carey’s leadership team to identify cost savings opportunities and improve procurement efficiencies.
- Support onboarding and management of new supplier relationships as the business grows.
Accounting Pricebook Support
- Provide accounting support related to purchasing and procurement activities, including invoice reconciliation, purchase order matching, and cost tracking.
- Assist accounting and operations teams with resolving discrepancies related to vendor invoices, inventory, and purchasing records.
- Maintain and update the Company’s pricebook and costing structure to ensure accurate material pricing, labor costing, and margin visibility.
- Collaborate with leadership to review pricing updates from manufacturers and vendors and implement changes within systems and operational workflows.
- Support reporting and analysis related to procurement spending, inventory trends, and vendor performance.
Skills You Need:
- Experience in purchasing, inventory management, procurement coordination, or operational support
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Experience supporting accounting-related processes, including invoice reconciliation and purchase order management
- Strong communication and relationship management skills with vendors, suppliers, and internal teams
- High attention to detail and commitment to data accuracy
- Proficiency with Microsoft Excel and general computer systems
- Experience with ERP, inventory management, accounting, or CRM systems preferred
- Ability to work collaboratively across operations, accounting, scheduling, and leadership teams
- Strong problem-solving skills and proactive mindset
- Ability to thrive in a fast-paced, team-oriented environment
Preferred Qualifications:
- Experience in the garage door, gutter, construction, distribution, or home services industries
- Associate’s or Bachelor’s degree in business, accounting, supply chain, operations, or related field
- Experience managing inventory or purchasing across multiple product categories
- Familiarity with vendor pricing structures, inventory costing, and operational workflows
- Experience supporting operational scheduling or dispatching functions
- Experience in a high-growth or multi-location business environment
