Position Summary

We are seeking a highly organized, compassionate, and detail-oriented Home Care Intake Staffing Coordinator to join our team. This individual will be responsible for coordinating new client intake, managing caregiver staffing and scheduling, processing referrals, and ensuring clients receive timely and appropriate home care services.

The ideal candidate will have excellent communication and problem-solving skills, the ability to manage multiple priorities, and a strong understanding of the importance of matching clients with qualified and dependable caregivers.

Key Responsibilities

Client Intake and Coordination

• Obtain required intake documentation and maintain accurate client records.
• Communicate with clients, family members, referral sources, and healthcare professionals as appropriate.
• Coordinate with the clinical team or designated care manager to support timely service initiation.

Caregiver Staffing and Scheduling

• Match caregivers with clients based on care needs, qualifications, availability, location, and compatibility.
• Prepare and maintain caregiver schedules, assignments, and staffing records.
• Fill open shifts, manage call-outs, and arrange replacement coverage when necessary.
• Communicate schedule changes, assignments, and updates to caregivers and clients.

Qualifications

• High school diploma or equivalent required
• Previous experience in home care, healthcare administration, staffing, scheduling, or client services preferred.
• Experience with caregiver scheduling and client intake is highly desirable.
• Excellent verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask and work effectively in a fast-paced environment.
• Proficiency in Microsoft Office, email, spreadsheets, and scheduling or home care management software.
• Ability to handle sensitive information with discretion and professionalism.
• Strong customer service and problem-solving skills.

Preferred Experience

• Familiarity with home care agency operations and caregiver staffing.
• Knowledge of client intake procedures, service coordination, and onboarding processes.
• Experience with electronic visit verification (EVV) and home care scheduling systems, where applicable.
• Ability to respond to last-minute staffing needs and changing client schedules.
• Understanding of applicable home care documentation and compliance requirements.
