A. BASIC SUMMARY:
The Attendance Monitoring Specialist is responsible for overseeing and ensuring the accurate and timely clock-in and clock-out of caregivers through real-time monitoring of the call dashboard. This role includes identifying and resolving clock-in errors, addressing missed clock-ins, and supporting caregivers with technical issues related to the mobile clock-in application. The specialist ensures compliance with EVV (Electronic Visit Verification) standards, coordinates with scheduling staff for any discrepancies, and follows up on attendance-related issues to maintain accurate records.
B. PRIMARY RESPONSIBILITIES/ESSENTIAL JOB FUNCTIONS:
1. Real-Time Attendance Monitoring
- Monitor the call dashboard in real time to track caregiver attendance and verify clock-ins.
- Identify incomplete confirmations, clock-in errors, and missed clock-ins promptly.
- Call caregivers 15 minutes after a missed clock-in to verify attendance and assist with clock-in issues.
- Follow up with aides to ensure successful clock-ins when issues are identified.
- Notify scheduling coordinators immediately if visits are mis-scheduled or show geographical discrepancies.
- Stay in continuous communication with the Scheduling Coordinator to resolve any inconsistencies.
2. Compliance & Documentation
- Ensure EVV compliance by monitoring clock-in and clock-out activities, addressing non-compliance with corrective actions as needed.
- Discipline caregivers based on geographical discrepancies or repeated clock-in failures.
- Send timesheets for confirmed missed clock-ins or clock-outs
- Document attendance issues and resolutions accurately in the appropriate tracking system.
3. Technical Support & Troubleshooting
- Assist caregivers in resolving issues with the IVR or mobile clock-in app, including troubleshooting connectivity or application errors.
- Provide guidance to caregivers on proper clock-in procedures and app usage.
- Log technical issues and escalate persistent problems to the proper department causing this issue.
C. HUMAN RELATIONS:
- Maintain respectful and professional communication with caregivers while addressing attendance and compliance issues.
- Collaborate closely with Scheduling Coordinators and Operations Staff to maintain consistent shift coverage.
- Provide clear instructions and support to caregivers on resolving clock-in challenges.
- Demonstrate empathy and professionalism when handling disciplinary conversations.
D. PHYSICAL REQUIREMENTS:
- Requires prolonged periods of sitting and extensive computer use.
- Fast-paced environment requiring multitasking and attention to detail.
- Ability to make calls and manage real-time communication simultaneously.
E. QUALIFICATIONS:
- Strong analytical and problem-solving skills to identify and resolve clock-in issues efficiently.
- Proficiency with attendance tracking systems, EVV platforms, and mobile applications.
