Schedule : Monday - Friday 8 : 00-5 : 00 (Occasional Weekends as needed)
Position Overview :
The Ground Clinical Administration Specialist is a key member of CareFlite's orientation team, responsible for overseeing and coordinating the orientation and onboarding process for new employees. The position requires effective communication, organizational, and leadership skills to ensure the efficient completion of orientation programs.
The Ground Clinical Administration Specialist will manage schedules, train employees, and assist the Orientation Supervisor in ensuring all new hires are proficient in their duties. The role requires fostering professional growth, promoting teamwork, and maintaining a high standard of patient care and documentation.
Key Responsibilities :
- Scheduling & Coordination :
Develop and manage new hire orientation schedules, 911 clearing schedules and student clinical scheduling.
Ensure that individual orientee schedules are prepared and resolve any scheduling conflicts.Coordinate with instructors and ensure that orientation sessions are well-organized.Complete administrative tasks, such as clearing workbooks, immunization records, course paperwork, Etc.Training & Development :Assist the Orientation Supervisor in facilitating Field Training Officer (FTO) training.
Oversee and indirectly supervise ground personnel to ensure the completion of training assignments and proficiency requirements.Monitor new employees' progress during orientation and report any conflict or issues to the Orientation Supervisor.Address any training deficiencies or delays during employee orientation and develop corrective action plans as needed.Complete verbal scenarios with those going through the 911 credentialing program and sign off on their clearance.Orientation Process Support :Participate in recruiting, candidate screening and interviewing, testing, and training of new employees.
Coordinate and support the direction of the orientation process, ensuring the comprehensive evaluation of new employees' competencies.Support and promote the personal and professional development of CareFlite team members through active participation in orientation programs.Leadership & Team Collaboration :Provide clear direction and guidance to staff and new hires, ensuring effective delegation of responsibilities.
Foster a supportive atmosphere to encourage team members to actively participate in orientation and training.Develop leadership skills through self-assessment, seeking opportunities for personal and professional growth.Encourage self-development and motivate employees to become active members of the team.Promoting Organizational Values :Demonstrate and uphold CareFlite's mission, vision, and values.
Maintain effective communication and promote diversity and tolerance in the workplace.Actively contribute to the enhancement of emergency medical transport services for CareFlite's sponsoring and partner facilities.Knowledge, Skills, and Experience Required :
Previous experience in a training role (FTO, preceptor, instructor, etc.) preferred.Experience in training programs, continuing education, and customer relations preferred.Proficient in English, with strong verbal and written communication skills.Proficient in Microsoft Office programs and capable of using computers for scheduling, documentation, and communication.Ability to maintain confidentiality regarding patient and personnel information.Willingness to work evenings and weekends as required.Current State of Texas certification or licensure as an EMT-Basic or EMT-Paramedic required.Bachelor's degree in a professional discipline is preferred.Three years of experience in an EMS or Healthcare setting required.Physical and Mental Requirements :
Ability to make decisions, which have a moderate impact on the immediate work unit.Ability to understand, remember, and apply oral and / or written instructions.Must be able to see and speak with customers and overserve equipment operation.Occasionally perform tasks while standing and walking up to 100% of the timeExamine and assess the skin and other abnormalities through sight, touch, and smell.Reach, bend, kneel, and have a high level of manual dexterity.Will often be required to lift and carry up to 25 pounds or more.Fast-paced environment with frequent interruptionsFrequently exposed to extreme temperatures and bloodborne pathogensRequired to wear personal protective equipment while performing specific tasks or in certain areas.The competence of the employee in performing his / her duties is evaluated during orientation to his / her position and will be demonstrated, maintained and improved on an ongoing basis.
