Accounting Specialist

Job Summary
We are seeking a detail-oriented and proactive Accounting Specialist to join our dynamic finance team. In this role, you will be responsible for managing various accounting functions, ensuring accuracy and compliance with GAAP (Generally Accepted Accounting Principles) and other regulatory standards. Your expertise in financial software and accounting processes will help maintain the integrity of our financial data, support budgeting efforts, and facilitate smooth financial operations across departments. DUTIES AND RESPONSIBILITIES:

• Processes accounting information within the MIP Accounting system, including preparing and entering general journal entries as approved by the Chief Financial Officer.
• Ensures all invoices are accurately coded according to account classifications. Completes month‑end closing procedures for all disbursements and receivables.
• Creates non‑support services check requests, including employee reimbursements, ensuring all payments have proper authorization from the Chief Financial Officer and/or Chief Executive Officer. Reviews support‑services check requests for correct documentation, account classification, and compliance before approving payment.
• Confirms vendor and service‑provider invoices are accurate and align with approved contract budgets or purchase authorizations. Maintains detailed records of disbursed funds and remaining balances for each contract or Purchase Order.
• Supports onboarding of new employees and processes employee timesheets for submission to Landrum Professional’s Timekeeping system.
• Obtains and compiles expenditure estimates for the upcoming week, including securing cost projections from service providers to support accurate cash‑flow planning for the Chief Financial Officer.
• Assists the Chief Financial Officer during Federal and State fiscal audits and monitoring visits. Conducts fiscal monitoring of service providers and vendors to ensure accountability and compliance.
• Review and Load funds to participant cash cards through ADP SmartCompliance.
• Performs monthly bank reconciliations to ensure accuracy of financial records.
• Prepares and processes year‑end 1099 forms.
• Performs all other duties as required by the Chief Financial Officer and/or Chief Executive Officer.

Requirements

• Proven experience in corporate accounting or governmental accounting environments with a solid understanding of GAAP standards.
• Familiarity with various accounting software platforms including QuickBooks, MIP, Kronos or ADP.
• Strong knowledge of financial concepts such as balance sheet reconciliation, accounts payable/receivable management, journal entries, and account analysis.
• Experience with payroll management systems like MyLandrum, Paychex or ADP is highly desirable.
• Excellent data entry skills with a focus on accuracy; proficiency in 10-key typing is preferred.
• Ability to interpret financial data accurately while demonstrating strong math skills and attention to detail.
• Knowledge of non-profit accounting practices or public accounting experience is a plus.
• Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment. Pay: $39,200.00 - $50,200.00 per year
