Summary

The HR Coordinator is responsible for providing day-to-day HR support to the company's operations while also assisting the HR team with employee and administrative needs across other states in which the company operates.

Working in partnership with HR Business Partners, the HR Coordinator supports key employee lifecycle activities, including onboarding, 30/60/90-day check-ins, employee affiliation and credentialing processes, interviews, unemployment administration, employee relations support, and general HR administration.

This position regularly interacts with team members and leaders and is expected to handle confidential and sensitive employee information with professionalism, discretion, and sound judgment.

Duties and Responsibilities:

HR Business Partner Support

  • Work in partnership with HR Business Partners to assist with day-to-day HR activities and employee needs.
  • Provide onsite HR support to New Jersey locations and assist with HR needs in other states as assigned.
  • Assist HR Business Partners with employee relations matters, documentation, follow-up, and other HR processes.
  • Participate in investigatory meetings as requested, including scheduling, gathering documentation, taking notes, and assisting with follow-up.
  • Escalate employee concerns and workplace issues to the appropriate HR Business Partner or HR leadership.
  • Maintain confidentiality regarding investigations, disciplinary matters, employee concerns, and other sensitive HR information.
  • Handling upload of documents into team member profiles in HRIS system

30/60/90-Day Employee Check-Ins

  • Coordinate and manage the company's 30-, 60-, and 90-day new hire check-in process.
  • Schedule required check-in meetings and monitor completion.
  • Conduct designated 30/60/90-day conversations with new employees.
  • Document feedback, concerns, and follow-up items identified during check-ins.
  • Identify and escalate employee concerns, management issues, training gaps, or other matters requiring HR Business Partner involvement.
  • Upload into Wurk profiles
  • Follow up with employees and managers regarding outstanding items identified during the check-in process.

New Hire Orientation & Onboarding

  • Coordinate and facilitate new hire orientation.
  • Ensure new employees receive required onboarding information, policies, resources, and training.
  • Partner with Recruiting, HR, Payroll, and operational leadership to support an effective onboarding experience.
  • Assist with completion and tracking of required onboarding documentation.
  • Serve as an initial HR resource for routine new hire questions and escalate matters as appropriate.

State Affiliation, Licensing & Credentialing

  • Coordinate employee affiliation, registration, badging, licensing, credentialing, and similar processes required by applicable state regulatory agencies.
  • Support required affiliation and credentialing processes for employees across all applicable company states.
  • Track applications, approvals, renewals, expirations, outstanding documentation, and applicable deadlines.
  • Communicate with employees and management regarding required documentation and outstanding items.
  • Escalate potential delays, eligibility concerns, or other issues to the appropriate HR Business Partner or HR leadership.

Recruiting & Interviews

  • Participate in candidate interviews as requested.
  • Assist with interview scheduling and coordination.
  • Partner with Recruiting and HR Business Partners on hiring-related administrative activities.
  • Assist with ensuring required interview and selection documentation is completed and maintained appropriately.

Unemployment Administration

  • Coordinate and assist with unemployment claims and related processes.
  • Gather employment records, disciplinary documentation, attendance information, separation documentation, and other information necessary to respond to claims.
  • Partner with HR Business Partners and management to ensure responses are accurate and submitted within required deadlines.
  • Maintain organized unemployment claim records.
  • Assist with unemployment hearings and appeals as needed.

HR Administration & Records

  • Assist with electronic and physical filing and maintenance of HR records.
  • Maintain organized and accurate employee documentation in accordance with company recordkeeping practices.
  • Assist with HR audits, document requests, reporting, tracking, and special projects.
  • Maintain HR trackers and follow up on outstanding documentation and action items.
  • Provide general administrative support to the HR department as needed.

Employee Engagement & Special Events

  • Assist with the planning, setup, coordination, and execution of employee events, recognition activities, HR initiatives, meetings, and company programs.
  • Provide onsite assistance for employee engagement activities and special events.
  • Partner with HR and operational leadership to support company culture and employee engagement initiatives.
  • Jump in wherever needed to support the HR team's broader initiatives and goals.

Education and Experience
  • Bachelor's degree in Human Resources, Business Administration, or a related field preferred, or equivalent relevant work experience.
  • Minimum of 1-2 years of experience in an HR Coordinator, HR Generalist, or similar Human Resources support role required.
  • Multi-site or multi-state HR support experience preferred.
  • Experience working in a unionized environment preferred, but not required.
  • Basic understanding of Human Resources practices and processes, with a strong interest and willingness to learn and develop broader HR knowledge.
  • Ability to learn HR processes related to employee relations, investigations, leave administration, unemployment, compliance, and other areas of Human Resources.
  • Excellent written and verbal communication and interpersonal skills.
  • Strong organizational, time-management, and follow-up skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and accuracy, particularly when maintaining employee records, documentation, and HR tracking.
  • Ability to handle sensitive and confidential employee information with professionalism and discretion.
  • Comfortable interacting with employees and managers and asking for guidance or escalating matters when appropriate.
  • Self-motivated, dependable, adaptable, and willing to take on new responsibilities as knowledge and experience develop.
  • Proficient in Microsoft Office, including Word, Excel, and Outlook; experience with an HRIS preferred, with Wurk experience a plus.
  • Ability to work onsite in New Jersey and travel between company locations as needed.
  • Ability to provide administrative HR support to employees and operations across multiple states.
  • Schedule flexibility when business needs require.
