Salary Range: $165,000 – $170,000 Paid Overtime Bonus

A premier financial services firm is seeking an exceptional Executive Assistant to support both the President and Director of Human Resources. This is a highly visible, fast-paced role requiring a polished professional with strong business acumen, exceptional organizational skills, and the ability to operate with discretion and precision. The ideal candidate will have extensive experience supporting senior executives in financial services, investment banking, private equity, venture capital, consulting, or similarly demanding environments. This role also requires advanced administrative capability, including daily spreadsheet management, high-level calendar and travel coordination, expense tracking, and detailed project support for the President.
Key Responsibilities
Executive Support
• Manage complex, high-volume calendars across multiple time zones for the President and Director of HR.
• Coordinate extensive domestic and international travel arrangements, including detailed itineraries.
• Prepare meeting materials, presentations, agendas, and briefing documents.
• Serve as a gatekeeper and primary liaison between executives and internal/external stakeholders.
• Provide high-level administrative and executive support to the President, including ad hoc and special requests.
Project & Administrative Management
• Track priorities, action items, and strategic initiatives with strong attention to detail.
• Support detailed project workstreams and firmwide initiatives.
• Maintain and update spreadsheets and reporting tools on a daily basis.
• Coordinate board meetings, leadership meetings, and offsites.
• Manage expense reporting, reconciliation, and general administrative processes.
Human Resources Support
• Heavy calendar management
• Schedule travel and expenses
• Coordinate confidential personnel-related matters with a high degree of discretion.
Qualifications
• 7 years of executive support experience.
• Prior experience supporting C-level executives, presidents, founders, or senior leadership teams.
• Background in financial services, investment banking, private equity, venture capital, or consulting strongly preferred.
• Exceptional organizational, communication, and time management skills.
• Proven ability to handle highly confidential and sensitive information.
• Bachelor’s degree preferred.
• Strong proficiency in spreadsheets and administrative systems, with experience supporting detailed, data-driven work.
