Position Overview
We are seeking a highly organized, dependable, and proactive Executive Assistant to support the Executive Director and help keep daily operations running smoothly.
This is a part-time role requiring focus, efficiency, and strong time management to effectively manage responsibilities within a 4-hour workday.
Key Responsibilities
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision and efficiency.
- Serve as a key point of contact for staff, families, and partners
- Maintain accurate records, documentation, and compliance tracking
- Assist with staff onboarding, scheduling, and communication
- Track deadlines and ensure follow-through on tasks
- Support reporting, audits, and operational processes
- Identify and help improve systems and workflow efficiency
- Ensure accountability and follow-through across daily operations
What We’re Looking For
- Proven experience in office management or executive administrative support within a healthcare or adult day care environment.
- Strong organizational skills with the ability to multitask efficiently in a busy setting.
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
- Exceptional typing speed along with transcription and proofreading skills to produce accurate documents swiftly.
- Demonstrated customer service skills with professional phone etiquette.
- Ability to handle clerical tasks such as filing, data entry, and managing front desk responsibilities confidently.
- Knowledge of office procedures including filing systems, data management, and office equipment operation.
- Strong communication skills—both written and verbal—with an emphasis on professionalism in all interactions.

Required Qualifications
- High school diploma required (Associate degree preferred)
- 2–3 years of administrative experience
- Proficiency in Microsoft Office and/or Google Workspace

- Not a basic receptionist position
- Not a low-responsibility admin role
- Not for someone who struggles with organization or follow-through
